About G&A; Robot
G&A; Robot is a Vancouver-based food and beverage automation company operating smart vending machines across universities, transit hubs, hospitals and other public facilities. We are expanding across Canada and the United States and seeking a Project Coordinator to support service-base openings, machine deployments, trade shows and business development projects.
About the Role
Working closely with the Project Manager, you will coordinate with Operations, Finance, Sales, management and external partners to keep projects organized and moving forward.
This role combines office coordination with travel to project sites, service locations and events. We are looking for someone who can manage multiple priorities, communicate professionally and take ownership of assigned tasks.
Key Responsibilities
- Service-base expansion: Research facilities, coordinate with agents, landlords and contractors, arrange and attend site visits, and track facility preparation and opening milestones.
- Permits and compliance: Research local requirements, organize applications and supporting documents, and follow up with health departments, inspectors and consultants.
- Trade shows and logistics: Coordinate exhibitor requirements, booth services, sampling approvals, insurance documents, equipment shipping, customs documentation, travel and accommodation.
- Project administration: Maintain schedules, task lists, budgets and document records. Prepare meeting notes and progress updates, and flag delays or decisions needed.
- Payment coordination: Obtain quotations, collect invoices and supporting documents, submit payment requests and follow up with Finance on deadlines.
- Business development support: Assist with supplier and partner communications, coordinate samples and marketing materials,
and support local activations and machine launches.
Qualifications
- 3-5 years of relevant experience in project coordination, operations, administration or a similar role.
- Strong organizational skills, attention to detail and consistent follow-through.
- Professional written and verbal English.
- Ability to manage multiple deadlines and work independently while keeping the team informed.
- Ability to research unfamiliar requirements and identify practical next steps.
- Proficiency in Microsoft Office or Google Workspace, particularly Excel or Google Sheets.
Travel and Site Requirements
- Valid driver’s licence and access to a reliable vehicle.
- Availability to travel regularly to project sites, service locations, vendor meetings and events.
- Willingness to undertake occasional out-of-town travel based on project needs.
Preferred Experience
- Experience with facility openings, food service, vending, equipment deployment, permits, trade shows or cross-border logistics is an asset.
- Training will be provided on company-specific products, systems and procedures.
The compensation package includes:
- Base salary: CAD $48,000–55,000
- Company equity that vests annually, subject to the applicable equity plan, grant terms, and vesting schedule
