ABOUT US The Behavioural Health Foundation (BHF) is a Therapeutic Community providing long-term bed-based treatment for adults and family units experiencing issues related to substance use and co-occurring mental health concerns. Programming includes individual and group counselling and focuses on wholistic person centered wellness. Adult education, employment development and life skills are key components of supporting residents to move to healthier coping and life choices.
BHF is one of the few programs where adults can enter with their children or reunify with children not in their care while they are in the program. With dedicated childcare and K-6 education on site, the program offers healing opportunities for the whole family.
The Indigenous
Services at BHF offer Traditional Teachings and Ceremonies to residents and community members. Traditional healing in a trauma informed environment has strengthened many members’ success in changing their lives. The Outreach team supports members working to maintain healthy choices as they transition back into their communities.

JOB SUMMARY The Receptionist/Office Assistant plays a vital front-line role at the Behavioural Health Foundation, supporting the daily operation of the program and the coordination of communication across the organization. As the first point of contact for all incoming calls, visitors, and external partners, this role contributes to a welcoming, organized, and professional environment.
Working within BHF’s integrated service delivery model, the Receptionist/Office Assistant collaborates with residential, support, operational, and community support teams, including our Indigenous support services, K–6 school, and daycare, to keep communication, administrative systems, and documentation accurate, consistent, and confidential.
SUMMARY OF JOB DUTIES AND RESPONSIBILITIES
- Operate the switchboard, answer and direct incoming calls, and greet and guide visitors in a courteous, respectful, and professional manner.
- Monitor front-end access to the building following established procedures, and maintain a clean, organized, and welcoming reception area.
- Take clear, accurate messages and ensure timely delivery to the appropriate staff so information is not missed or delayed.
- Support the Intake Team with data entry, prepare intake binders, and maintain the client database, including intake and discharge information.
- File documentation accurately and on time, distribute resident mail daily, and prepare reports, correspondence, certificates, and program materials.
- Provide administrative support to the on-site K–6 school, including student registration, MET number requests, file transfers, and student records.
- Maintain office equipment and supplies, and provide administrative coverage during staff absences or high-demand periods.
- Respond to inquiries from community agencies and external partners with accurate program information, and work collaboratively as part of the program team.
- Provide services in a respectful, inclusive, and culturally responsive manner, supporting Indigenous and cultural practices within the program.
QUALITIES AND QUALIFICATIONS
- Grade 12 or equivalent.
- Minimum two (2) years of receptionist or administrative experience; equivalent combinations of education and experience may be considered.
- Understanding of substance use and mental health within a residential setting is an asset.
- Candidates who self-identify as First Nations, Métis, or Inuit are encouraged to apply. Indigenous ancestry is considered an asset in recognition of the populations served by the program.
- Working knowledge and appreciation of Indigenous histories, cultures, traditions, teachings, and worldviews.
- Strong verbal, written, and electronic communication skills, with strong organizational and multitasking abilities.
- Ability to work in a fast-paced,
high-demand environment and manage competing priorities calmly and effectively.
- Ability to work both independently and as part of a team.
- Commitment to confidentiality and professional communication standards.
CONDITIONS OF EMPLOYMENT
- Satisfactory Criminal Record Check with vulnerable sector check and child abuse registry check (no older than three months).
- A valid driver’s license with a reliable vehicle and a satisfactory driver’s abstract.
- Must be legally entitled to work in Canada.
- Current First Aid, CPR, and CPI certification, or willingness to obtain within three months of employment.
- Mental Health First Aid Certificate is considered an asset.
- Availability to work a flexible schedule, including evenings and weekends as required.
- Must be able to work in a fast-paced setting and maintain strict confidentiality regarding all clients, conversations, and referrals.
