Mission StatementThe Salvation Army exists to share the love of Jesus Christ, meet human needs and be a transforming influence in the communities of our world.The Volunteer Coordinator provides support to the Manager of Volunteers, coordinating delivery of all required volunteer administrative support services for The Salvation Army (TSA) Ontario Distribution Centre (ODC) 'Behind the Shield' Volunteer Program and as an assist to the Manager of Volunteers other duties where needed. They perform daily tasks related to volunteer administration operations and responds to volunteer inquiries via phone and email and provides a welcoming atmosphere for volunteers entering ODC.Ensure all volunteer warehouse supplies inventory levels are maintained, and re-orders are placed in a timely manner to outages.
Ensure effective and accurate management of inbound and outbound emails received through the ODC volunteer email account etc.
Assist Manager, Volunteers and Durable Goods with the maintaining accurate records of group volunteer opportunity planning where needed.
Manage administration of the volunteer shifts in the MyImpact volunteer platform with case-by-case adjustments for corporate team requests.
Provide orientation of the ODC Warehouse Health and Safety measures to volunteers and provide specific sorting activity orientation.
Seek continually to improve the Volunteer program, processes and policies, and volunteer activities and facilitation documentation, as needed.
Ensure ODC volunteer standards and policies are upheld.
Responsible for reporting any volunteer problems per policies and procedures.Maintain a clean and organized environment for volunteers in the workplace, such as the volunteer rooms and production areas where volunteers perform activities.
Facilitate Volunteer Sorting and Bagging Activities and TSA ODC Durable Goods order fulfillment with the volunteers.
Generate daily volunteer outbound reports for both Inventory Management and Manager of Volunteers as required for groups.
Provide group volunteer outbound reports to group volunteer team and leader (following the shift). Warehouse: Perform shipping and receiving of goods using a forklift or other power equipment as certifications allow.
Pickup, sort, put-away, pack and ship.
Fulfill TSA Ministry Unit requests for durable goods for delivery.
Accurately count and weigh product being delivered or shipped.
Assist with inventory reconciliation.
Ensure that work is completed in a safe manner, in accordance with the Ontario Occupational Health & Safety Act (OHSA) and TSA policy,Perform other related duties as required.WORKING CONDITIONS:
This is a regular full-time position based on 40 hours per week.
Overtime will be required during the Christmas season.
Ability to adapt to a flexible work schedule during peaks and/or seasonal times.
Work typically performed in an office and warehouse environment with exposure to monotony of work (repetitive tasks).
Wear the appropriate safety, Personal Protective Equipment, and maintain a clean uniform.Normal hours of work: Monday to Friday, 6:30 a.m. Shifts may change during the Christmas season.Education, Qualifications and Certifications: Completion of a formal post-secondary program of two academic years in Warehousing, Supply Chain Management, Inventory Control and Materials Management preferred.Experience and Skilled Knowledge Requirements: At least 3 years of previous experience, including volunteer management, some supervisory experience, and proven track record of communicating clearly both orally and in writing.
Administrative, general clerical and Customer Service.
Intermediate to advanced proficiency in Microsoft Office suite.
Experience with Volunteer Coordination and Management platform software, such as MyImpact, is an asset.
- Experience with Inventory Management software, such as Fishbowl, is an asset.**a flexible self-starter with the ability to multitask in a quick-paced environment.
Must be fully fluent in English reading, writing and verbal.
Excellent interpersonal and customer service skills.
Ability to work with minimal supervision and demonstrates strong leadership skills.
Strong administrative, time-management and organizational skills.
Participate in ongoing professional development and training.
