Job Description:

We are looking for a detail-oriented Registration Records Officer to support patient registration and health records operations for a Contract position based in North York, Ontario. This role plays an important part in maintaining accurate patient information, supporting clinical teams with timely record access, and helping ensure documentation standards are met in a fast-paced healthcare setting. The successful candidate will be comfortable working a rotating schedule that may include days, evenings, weekends, and overnight coverage in a 24/7 environment.

Responsibilities:

- Welcome and register patients by entering and verifying demographic and visit information needed for hospital use.
- Retrieve, organize, and process discharged patient charts to support complete and accessible health records.
- Prepare completed physician documentation for final chart assembly and conduct quantitative checks for completeness and accuracy.
- Review records and related workflows through regular quality audits to help maintain documentation standards.
- File, locate, and release patient health records promptly in response to requests connected to care delivery, research activity, and compliance reviews.
- Maintain filing accuracy by processing charts and loose reports within established turnaround expectations.




- Update patient demographic details as needed to keep electronic and paper records current.
- Receive payments for medical appliances and uninsured services while ensuring accurate documentation of transactions.
- Follow hospital safety practices and applicable occupational health and safety requirements in daily work.
- Provide additional administrative and records support duties as required.

Requirements:

- Completion of an Ontario Secondary School Diploma is required.
- Experience working in a healthcare setting is required, with prior health records exposure in a computerized setting considered an asset.
- Knowledge of medical terminology is required.
- Strong keyboarding accuracy and confidence using electronic medical records, digital filing systems, and Microsoft Office applications are essential.
- Ability to communicate clearly in English, both verbally and in writing, is required.
- Proven ability to work collaboratively with staff and interact professionally with patients and the public.
- Strong organizational skills with the ability to manage competing priorities and perform well under pressure.
- Enrollment in or completion of a Health Information Management program and bilingualism in French and English are considered assets.
