Administrative Assistant

Diversified Rehabilitation Group is a leading provider of mental health, vocational rehabilitation, disability management, and return-to-work services across Canada. We are currently seeking a highly organized and professional Administrative Assistant to join our growing team.

In this role, you will interact with a wide range of collaborators, including clinical teams, physicians, psychologists, legal professionals, healthcare providers, insurance companies, Workers’ Compensation Boards, first responders, and veterans. Your professionalism, attention to detail, and ability to manage competing priorities will be essential to supporting the delivery of exceptional client care and service.
This position requires working from multiple locations, including our Kelowna and Lake Country offices.
Compensation
$21.00 - $25.00 per hourCompensation is based on education, professional credentials, experience, and scope of services provided.
This position includes a six (6) month probationary period. Upon successful completion of probation, employees become eligible to participate in the organization's benefits program.
Responsibilities:
· Greet clients, provide resource information, and respond to service and program inquiries in a professional, welcoming, and compassionate manner.
· Maintain electronic client files and administrative records in accordance with company standards and privacy requirements.
· Coordinate appointments, meetings, consultations, intakes, and follow-up services.
· Correspond with referral sources, clients, healthcare providers, and other collaborators regarding appointments, documentation, and service coordination.
· Perform advanced word processing, editing, formatting, and document preparation.
· Complete Excel data entry, spreadsheet management, form creation, and database maintenance.
· Edit, format, distribute, email, and fax reports while ensuring adherence to organizational standards and timelines.
· Assist with data management, reporting, and administrative workflow processes.
· Maintain confidentiality and professionalism when handling sensitive client information.
· Support office operations and perform other related administrative duties as required.
Qualifications:
· Administrative Assistant Certificate, Diploma, or equivalent administrative experience preferred.
· Strong organizational, time management, and multitasking abilities.
· Intermediate to advanced keyboarding skills with typing speeds of approximately 60-70 words per minute.
· Advanced proficiency with Microsoft Excel,
including spreadsheet creation, formulas, and data management.
· Proficiency within a Windows environment, including Microsoft Office, Microsoft OneDrive/SharePoint, and Microsoft Teams
· Strong experience with data entry, database management, and records administration.
· Ability to maintain confidentiality in all aspects of the position in accordance with FOIPPA requirements.
