Position Summary
The Executive Assistant provides complete administrative support as well as develops, implements and maintains support systems, while operating in a fast-paced, confidential, multitasking environment. Situations may arise when variations in workloads, periodic responsibilities, or special projects and events require overtime work for the job to be completed.
Responsibilities
- Receive client inquiries on behalf of the Advisor and determine appropriate course of action. This may include proactively investigating and resolving client problems and recording the nature of the inquiry and advising the Advisor;
- Contact clients and schedule appointments for the Advisor;
- Sorting/distributing incoming mail and maintaining and updating email correspondence;
- Processing/reviewing daily business transactions regarding client accounts and managing/updating client databases;
- Preparing and maintaining client files, paperwork, and meeting notes;
- Prepare documents for signatures/e-signatures;
- Process/review and follow up on daily transactions regarding client accounts until completed;
- Support client events by booking sites and sending marketing material to clients and prospects.
Qualifications
- Administration Diploma or other Postsecondary degree in a relevant discipline or equivalent experience;
- Minimum 2 years of customer/client relations experience preferably in the financial services industry;
- Strong computer skills with the Office 365 (Outlook, Word, Excel, Power Point);
- Strong attention to detail and ability to work independently is required;
- Customer service orientation with a demonstrated ability to interact professionally with clients; both in a virtual workplace and in person;
- Discretion and ability to organize and prioritize multiple tasks under tight deadlines.
- IFIC certification not required, but is considered an asset.
Pay: From $45,000.00 per year

- Bachelor's Degree (required)
Experience:
- Administrative: 1 year (preferred)
- Client services: 1 year (preferred)
