RCMS is looking for a detail-oriented, organized, and customer-focused Housing Administrator to join our team.

The Housing Administrator supports the Property Manager with the day-to-day administration and operations of a co-operative community. This position provides a variety of administrative, member service, financial, maintenance, and housing support functions while ensuring compliance with applicable legislation, policies, and procedures.

Important: This position requires one late-night shift per week to accommodate evening meetings and community requirements.

What You'll Do

Administration & Office Operations

- Provide day-to-day administrative support to the Property Manager and community office.
- Prepare reports, notices, correspondence, meeting packages, and minutes.
- Maintain accurate records, files, calendars, and office systems.
- Process incoming and outgoing mail, telephone inquiries, and general correspondence.
- Manage office supplies, keys, entry cards, parking, lockers, and storage records.
- Attend Board, member, GMM, and other community meetings as required.
- Prepare documentation and files for legal or other external requirements.

Member Services

- Respond to member/tenant inquiries and provide professional customer service.
- Process applications in accordance with applicable policies, procedures, by-laws, and waiting lists.
- Coordinate move-in and move-out processes.
- Support vacancy management and ensure units are filled efficiently.
- Address complaints and assist with resolving community concerns.

Maintenance

- Coordinate and track maintenance work orders.
- Enter and monitor work orders and prepare monthly reports.
- Assist with the supervision of maintenance and cleaning staff when required.
- Maintain contractor key and access records.

Financial Administration

- Process accounts payable and receivable activities.
- Prepare cheque requisitions for management approval.
- Enter deposits and expenses into YARDI.
- Assist with annual audit preparation.




- Handle deposits and petty cash in accordance with company procedures.

RGI Administration – Training Provided

- Process Rent-Geared-to-Income (RGI) applications and annual reviews.
- Collect and review required documentation.
- Provide required notices and ensure processes comply with applicable legislation and Service Manager requirements.

What We're Looking For

- 1–2 years of relevant industry or property/housing administration experience.
- Strong customer service and interpersonal skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and organizational skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Strong problem-solving and analytical skills.
- Professional, dependable, and team-oriented.
- Ability to handle confidential information with discretion.
- Ability to work independently and demonstrate initiative.
- Knowledge of the Residential Tenancies Act, Housing Services Act, Social Housing Reform Act, and/or co-operative/non-profit housing is an asset.
- Experience with YARDI or HMWorks is an asset.
- Training will be provided for RGI responsibilities.

Pay: $40,000.00-$42,000.00 per year
