Position Summary
The Ophthalmology Supervisor oversees the day-to-day operations of the Ophthalmology Department, including staff supervision, scheduling, recruitment and training, physician support, equipment and supplies, and overall departmental workflow.
This is a hands-on supervisory role requiring a strong understanding of both the administrative and clinical functions of the department. The Supervisor will provide floor or desk coverage when needed and reports directly to the Human Resources & Operations Manager.
Key Responsibilities
- Oversee daily department operations, including patient flow, staffing, scheduling, administrative processes, and unexpected operational issues.
- Supervise and support staff, including scheduling and timekeeping through Findmyshift, arranging coverage, providing training and direction, and addressing staff concerns in collaboration with Human Resources & Operations.
- Coordinate recruitment and onboarding, including reviewing resumes, arranging and participating in interviews, providing candidate feedback, and assisting with offers, orientation, and training.
- Coordinate ophthalmologist schedules and ensure appropriate staffing, equipment, and resources are available.
- Coordinate visiting and out-of-town ophthalmologists, including hospital Ambulatory Care and Operating Room dates, referrals, patient bookings, follow-ups, and surgical/procedure arrangements.
- Prepare for visiting physician clinics by organizing charts, documentation, instruments, equipment, and required follow-up.
- Maintain a working knowledge of all areas of the department, including administrative desks, patient flow,
visual acuity testing, and ophthalmic equipment, and provide coverage when required.
- Oversee equipment and supplies, including troubleshooting issues, arranging repairs/service, communicating with vendors, and maintaining appropriate inventory.
- Coordinate pharmaceutical and medical representative visits and physician meetings or presentations.
- Maintain departmental schedules, referral lists, records, and documentation and communicate with patients, physicians, hospitals, optometrists, vendors, and other healthcare providers.
- Ensure departmental practices follow clinic policies, privacy and confidentiality requirements, infection prevention practices, and health and safety requirements.
- Perform other duties as required to support the effective operation of the Ophthalmology Department.
Qualifications & Skills
- Previous supervisory, ophthalmology, medical office, or healthcare experience preferred.
- Strong leadership, organization, communication, and problem-solving skills.
- Ability to supervise and train staff while managing multiple priorities.
- Knowledge of medical office and/or clinical workflows.
- Comfortable learning and working with ophthalmic equipment and providing hands-on departmental support.
- Strong computer and scheduling-system skills.
- Professional communication skills and the ability to work effectively with physicians, staff, patients, and external healthcare partners.
- Ability to work independently, exercise sound judgment, and maintain confidentiality.
Job Type: Full-time
Pay: $28.00 per hour
Expected hours: 37.5 per week
