Imagine Health Medical Clinics is a multi-disciplinary healthcare organization committed to providing exceptional care to our patients. We are currently seeking a reliable, organized, and patient-focused Medical Office Assistant (MOA) to join our team.
The ideal candidate will have a minimum of 2 years of previous medical office experience, preferably in a family practice and/or specialist clinic. Fluency in English is required, and the ability to communicate in Ukrainian or Russian is an asset.
Position Summary
The Medical Office Assistant is responsible for providing comprehensive administrative and clerical support to family physicians, specialists, and clinic staff while ensuring a welcoming and professional experience for patients.
The successful candidate will report to the Clinic Manager and work collaboratively with physicians, PCN staff, and other clinic personnel to support efficient patient flow and daily clinic operations.
Key Responsibilities
- Book and manage patient appointments for family physicians and specialists
- Schedule consultations and coordinate specialist referrals
- Register new patients and maintain accurate patient demographic information
- Check patients in and update information in the EMR
- Respond to patient inquiries by phone, email, and in person
- Confirm and remind patients of upcoming appointments
- Follow up with patients regarding no-show appointments and applicable fees
- Receive and process patient payments
- Prepare patient receipts as required
- Complete daily cash and POS reconciliation
- Follow up on outstanding patient balances
- Fax consultation notes and other documents to referring physicians
- Import and organize documents within the EMR
- Complete data entry accurately and in a timely manner
- Respond to EMR tasks and administrative requests promptly
- Monitor office supplies and notify the Clinic Manager when supplies are required
- Assist with staff training as required
- Support physicians, PCN staff, and other clinic personnel with daily operations
- Maintain a clean, organized, and welcoming clinic setting
- Attend staff meetings and participate in clinic initiatives
- Perform other duties as assigned by management
Qualifications & Experience
- Minimum 2 years of previous medical office experience, preferably in a family practice and/or specialist clinic
- Medical Office Administration education or equivalent work experience
- Strong knowledge of medical office procedures and administrative practices
- Experience working with EMR systems required; CHR experience is an asset
- Strong computer, typing, data entry, and organizational skills
- Fluent English communication skills
- Ability to communicate in Ukrainian or Russian is an asset
- Russian language skills considered an asset
- Certification or training in medical equipment reprocessing is an asset
- Strong understanding of patient confidentiality, privacy, and professional ethics
- Ability to work effectively both independently and as part of a multidisciplinary team

Pay: From $19.00 per hour
Expected hours: 8.0 per week
