Position: [DS1] Business Coordinator – Payroll and Benefits Administration

Spruce Lodge has approximately 280 staff members.
Responsibilities
As a Business Coordinator in the Spruce Lodge Business Office, the successful candidate will provide administrative and accounting support for the Spruce Lodge Continuum of Care, ensuring that all financial functions are carried out in accordance with the financial and business practices of the organization and legislated requirements.
The primary role of this position is Payroll and Benefits Administration.
This position will be a full-time position (40 hours per week) and reports to the Director of Finance & IT
Job responsibilities include:
· Processing Payroll – run the organization’s bi-weekly payroll cycle, calculating wages, overtime and shift premiums
· Deductions & Taxes – Manage tax withholdings, benefit and pension plan contributions, garnishments and court-ordered deductions
· Reconciling & Reporting – Balance payroll registers, create general ledger journal entries and assist with year-end tax filings
· Managing the employee benefit and pension plans
· Record Keeping – Maintain up-to-date personnel files, processing new hires, pay rate changes and terminations
· Preparing year-end employee tax slips (T-4’s)
and submitting governing filings to meet deadlines
· Support & Compliance – Answer employee pay inquiries and ensure adherence to local labour and tax regulations and the local collective agreement
· Various other duties as assigned in regards to the day-day operations and responsibilities of the Spruce Lodge Business Office
Qualifications
· High school diploma required
· Post-secondary degree or diploma in business/ commerce with a major in accounting preferred
· Professional credentials such as Payroll Compliance Practitioner (PCP) a strong asset
· Relevant experience in hands-on payroll processing
· Experience working in the long-term care sector an asset
· Above average computer skills and accounting software experience
· Proficiency with payroll platforms (such as CCIM-Quadrant or comparable HRIS system) and time capture platforms (such as Staff Schedule Care) an asset
· Proficiency in Excel and Word
· Excellent communication and problem-solving skills
· Experience working as part of a business team
· Flexibility to work occasional overtime as the position requires
· Completion of Vulnerable Sector Screening upon hire
