Clinic Manager — Full-Time

SEVA Wellness is a busy, established multidisciplinary wellness clinic in Surrey, BC, and we are looking for an experienced, personable, and organized Clinic Manager to join our team immediately.

⭐ IMPORTANT — REQUIRED EXPERIENCE

We are specifically looking for candidates with:

- Strong working knowledge of Jane App
- Previous experience with ICBC billing
- Previous experience with WorkSafeBC (WSBC) billing
- Experience processing Extended Health Benefit claims and direct billing
- Previous experience working in a busy physiotherapy, massage therapy, chiropractic, or multidisciplinary healthcare clinic
- Experience managing a busy front desk and coordinating multiple therapists' schedules

Candidates without experience using Jane App and handling third-party insurance billing are unlikely to be suitable for this position.

This is a hands-on leadership position for someone who enjoys working in a fast-paced clinic environment, is comfortable taking initiative, and genuinely enjoys helping patients and supporting healthcare professionals.

What You'll Be Responsible For

- Oversee the day-to-day operations of the clinic and front desk
- Provide exceptional customer service and create a welcoming experience for every patient
- Answer phone calls, respond to patient inquiries, and manage email/clinic communications
- Book, reschedule, and confirm patient appointments
- Manage therapist schedules and assist therapists with scheduling needs
- Coordinate and process third-party insurance billing, including:
- ICBC
- WorkSafeBC (WSBC)
- Extended Health Benefits
- Use Jane App confidently for scheduling, billing, patient management, and clinic administration
- Assist therapists with administrative needs and help ensure they have everything they need to provide excellent patient care




- Monitor the daily flow of the clinic and proactively address scheduling or operational issues
- Follow up with patients regarding appointments, treatment plans, outstanding balances, and other administrative matters
- Maintain accurate patient records and billing information
- Handle payments, receipts, insurance claims, and other front-desk financial responsibilities
- Maintain a clean, organized, professional, and welcoming clinic environment
- Assist with clinic upkeep, including laundry, washing and folding linens, and keeping treatment areas and common areas tidy
- Monitor clinic supplies and communicate when inventory needs to be replenished
- Support onboarding and training of new front-desk team members when required
- Help establish and maintain excellent clinic standards and procedures
- Work closely with the clinic owner and healthcare practitioners to improve the overall patient and therapist experience
- Take initiative and solve problems rather than waiting to be directed
- Help create a positive, respectful, and team-oriented workplace culture

What We're Looking For

The ideal candidate is:

- Experienced in a busy healthcare or wellness clinic
- Experienced in a physiotherapy, massage therapy, chiropractic, or multidisciplinary clinic
- Proficient in Jane App
- Experienced with ICBC, WSBC, and Extended Health Benefit billing
- Excellent at customer service and patient communication
- Friendly, approachable, social, and genuinely enjoys interacting with people
- Highly organized and able to multitask in a busy environment
- Confident managing competing priorities and a busy front desk

- Detail-oriented, particularly when dealing with billing and patient information
- Comfortable working independently and taking initiative
- Calm and positive when the clinic gets busy

Schedule

This is a full-time position.

The successful candidate must be flexible and available to work 1–2 evenings per week, as clinic operations extend into the evening.

Occasional schedule flexibility may also be required based on clinic needs.
