AREA: Human Resources & Organizational Effectiveness
CLASSIFICATION: Human Resources & IT Clerk
POSITION SCOPE: The HR Clerk provides administrative and IT support to the HR Team in a variety of human resource functions including but not limited to: document and data control, HR coordination and set up of meetings, updating databases, letters and mail outs, updating queues daily; process change request forms (PCR’s), answering questions from employees; references, avanti support, and recruitment functions. This is an entry level HR administration & IT position.
POSITION RESPONSIBILITIES:
- ·Actions recruitment requests via Recruitment Request Form from Directors or Managers, and opens job posting in the recruitment queue.
- Coordinates and performs recruitment and selection involving the posting of permanent, temporary and casual positions, collects and screens resumes, selects candidates, sets up interviews, and may request pre-employment testing from HR team.
- Ensures HR related expenses are processed according to finance and HR recording procedures, including purchasing.
- Socially interacts in a positive, pleasant, and professional manner with staff and management; and ensures any issues are diffused and redirected to the HR Team.
- Collects resumes, performs postings, and prepares interview packages, under the oversight of the Professional Development and Recruitment Coordinator.
- Arranges/coordinates interviews and schedules, checks references.
- May coordinate orientation with training for new hires, in absence of Development Coordinator.
- Discusses posting requirements with the Career development Coordinator/Recruiter.
- Ensures any safety related or core specific training gaps are identified and flagged,
with notification to the PDCR
- Completes PCR’s in a timely and diligent manner, and recommends Employment Contracts for Permanent, Temporary and Casual workers.
- Responsible for the processing, filing, documentation and destruction of confidential material as covered in the Freedom of Information and Protection of Privacy Act.
- Ensures employees receive copies of HR related documents and best evidence originals are maintained on file.
- Participates in the organization of social functions and assists in organizing any staff related events.
- Runs errands, picks up supplies, gifts, cards and prizes as needed.
- Researches information for quotes on supplies and services, gifts etc.
- Ensures employee’s copies of HR related documents.
- Ensures original documents are updated on the personnel file in coordination with the Executive Assistant.
- May be actively involved in Job Fairs.
- Maybe involved in intake forms for processing in HR process paperwork.
- Responsible for the processing, filing, documentation and destruction of confidential material as covered in the Freedom of Information and Protection of Privacy Act.
- Writes letters of correspondence and/or emails as requested by the HR Team on occasion.
- Contributes to the ongoing quality assurance program at CORE Support Services
- Attends DEIC meetings,
takes minutes and follows up on items as directed by Diversity, Equity and Inclusion Committee.
- Ensures all work is thorough, accurate and detailed with dates and names, as well as readable.
- Ensures documents go to the necessary HR team member (LRO, PDCR, HRGPRO, DHRORG.
- Ensures there are no changes to the CI folder and;/or queues besides updates.
- Contributes to the ongoing initiatives of eliminating accidents and incidents in the workplace.
- Contributes to the ongoing efforts of ensuring a respectful workplace for all employees.
- Participates in continuous improvement.
QUALIFICATIONS: Diploma in business administration with experience in Human Resources; and/or a Diploma in Human Resources from a recognizable educational institution. Experience as an HR administrative assistant with administrative diploma will also be considered. Extensive knowledge in technology and working with MS Office, Teams and other software. Positive person who is able to have a customer focused mindset is required. May be required to work overtime on occasion.

Pay: $39,062.84-$48,831.09 per year
