HBI Office Plus is looking for an organized, detail-oriented Accounts Payable & Payroll Clerk to join our accounting team in Regina.

HBI Office Plus is a Saskatchewan-based provider of office supplies, office furniture, and workplace solutions. We are looking for someone who takes pride in accuracy, enjoys working with numbers, and can confidently manage both accounts payable and payroll responsibilities in a busy, team-oriented environment.

The Role The Accounts Payable & Payroll Clerk will be responsible for the day-to-day processing of vendor invoices and payments, as well as supporting the accurate and timely processing of employee payroll. This position works closely with our accounting team, managers, employees, vendors, and other departments across the company.

This role is a good fit for someone who is highly organized, dependable and comfortable working with deadlines.

Key Responsibilities

Accounts Payable

- Review, code, and enter vendor invoices accurately and on a timely basis.
- Match invoices to purchase orders and receiving documentation and investigate discrepancies.
- Prepare and process vendor payments in accordance with established payment schedules.
- Reconcile vendor statements and follow up on missing invoices, credits, and discrepancies.
- Maintain accurate vendor records and supporting documentation.
- Respond to vendor inquiries and work with internal departments to resolve invoice and payment issues.
- Review outstanding accounts payable and help ensure liabilities are recorded in the appropriate accounting period.
- Assist with credit card reconciliations and expense processing.
- Support month-end accounting procedures related to accounts payable.
- Maintain strong internal controls over invoice processing, vendor changes, and payments.

Payroll

- Assist with the preparation and processing of payroll accurately and on schedule.




- Review employee hours, earnings, commissions, vacation, statutory holiday pay, deductions, and other payroll information.
- Process employee changes including new hires, terminations, wage changes, benefit deductions, and other payroll adjustments.
- Maintain accurate payroll and employee records.
- Respond to employee payroll questions and investigate discrepancies.
- Assist with payroll reconciliations and reporting.
- Support administration of employee benefits and other payroll-related programs.
- Assist with year-end payroll activities, including T4 preparation and reconciliation.
- Ensure payroll information is handled with a high level of confidentiality.

General Accounting & Administration

- Assist the accounting team with reconciliations, month-end procedures, and other accounting tasks as required.
- Maintain organized electronic records and supporting documentation.
- Identify discrepancies or unusual transactions and bring them forward for investigation.
- Look for opportunities to improve the accuracy and efficiency of accounting processes.
- Provide backup support to other members of the accounting team when required.

What We're Looking For

- Previous experience in accounts payable, payroll, bookkeeping, or a similar accounting role.
- Strong attention to detail and a high degree of accuracy.
- Good understanding of basic accounting principles.
- Robust organizational and time-management skills with the ability to manage recurring deadlines.
- Comfortable investigating discrepancies and following issues through resolution.
- Strong Excel and general computer skills.




- Professional communication skills when dealing with employees, vendors, and other departments.
- Ability to handle confidential financial and employee information appropriately.
- Ability to work independently while contributing to a collaborative accounting team.

Experience with NetSuite and/or Payworks would be considered an asset. Post-secondary education in accounting, business administration, or a related field would also be considered an asset. Relevant practical experience will be considered in combination with education.
