Admin & Operations Manager

Inmotion Media Ltd. is a full-service marketing agency based in Lethbridge, Alberta. We work with businesses across Southern Alberta and beyond to build brands, websites, marketing campaigns and digital strategies that get results.
Our in-house team brings together web development, SEO, graphic design, social media, videography, photography, branding, digital advertising, media buying and more. We’re a creative and fast-moving environment where no two days—and no two clients—are exactly the same.
We’re looking for an Admin & Operations Manager to help keep the people, projects and day-to-day operations of our production office organized and moving forward.
About the Role
This is a hands-on administrative and operations position for someone who genuinely enjoys organization, systems, communication and keeping things on track.
You will play a central role in managing the workflow of our production office and helping our creative and technical teams stay organized, informed and accountable to deadlines.
You’ll work closely with our leadership team and collaborate with designers, developers, videographers, social media managers and other team members to coordinate projects, priorities and day-to-day operations.
The ideal candidate is someone who can look at a busy office and immediately start figuring out what needs to happen, who needs to know, what is falling behind and what needs to happen next.
Key Responsibilities
Office Administration
- Manage the day-to-day administrative operations of the office
- Maintain organized digital and physical filing systems
- Coordinate internal documentation, records and administrative processes
- Assist leadership with administrative tasks and operational requirements
- Help maintain an organized, professional and productive office environment
Production & Workflow Management
- Coordinate the workflow of projects moving through the production team
- Track project timelines, deadlines, deliverables and priorities
- Help ensure team members have the information, files and resources they need to complete their work
- Follow up on outstanding tasks and keep projects moving forward
- Identify workflow bottlenecks and communicate issues to leadership
- Help coordinate schedules, meetings, production requirements and internal deadlines
- Keep project information and status updates organized and up to date
Team Communication
- Act as an important communication link between leadership and production teams
- Communicate clearly with people across different departments and working styles
- Coordinate with creative, technical and administrative team members
- Help translate priorities and deadlines between departments
- Follow up professionally and consistently when information or deliverables are outstanding
Client & Project Support
- Assist with coordinating client-related information and project requirements
- Help ensure client requests and project details are properly communicated to the appropriate team members
- Support the team in keeping projects organized from initial request through completion
- Assist with scheduling meetings, calls and production activities as required
What We're Looking For We’re looking for someone who is extremely organized, proactive and comfortable taking ownership.
You don't need to be a graphic designer, developer or videographer. However, you should be comfortable working alongside creative and technical professionals and interested in understanding how they work.
The ideal candidate will have:

- A positive, team-oriented attitude
An Asset, But Not Required Experience working in a marketing agency, creative agency, production environment or technology company would be an asset.
It is also an asset if you can speak the language of different creative disciplines.
You don't need to know how to design a logo, edit a video or build a website—but understanding terms, processes and workflows used by graphic designers, videographers, social media professionals and web developers will help you succeed in this role.
Most importantly, we're looking for someone who is curious, organized and comfortable learning.
