Administrative Assistant, Member Services & MLS® Support
Location: Woodstock, Ontario
Position Type: Full-Time, Permanent
Schedule: Monday to Friday, 9:00 a.m. to 4:30 p.m. (35 paid hours per week with a 30-minute unpaid lunch break)
Compensation
Starting at $25.00 per hour. Following successful completion of the six-month probationary period, employees may be considered for an increase to $26.00 per hour. Annual salary reviews are conducted as part of the Association's compensation program.
About WITAAR The Woodstock-Ingersoll-Tillsonburg Area Association of REALTORS® (WITAAR) is a professional membership organization dedicated to supporting REALTORS® through advocacy, education, professional standards, and member services.
We are seeking a highly organized and service-oriented professional to join our team as an Administrative Assistant, Member Services & MLS® Support. This position is ideal for someone who enjoys a variety of responsibilities, takes initiative, and thrives in a team-oriented environment where teamwork, adaptability, and member service are highly valued.
Position Summary
Reporting to the Executive Officer, the Administrative Assistant, Member Services & MLS® Support plays a key role in the daily operations of the Association.
As part of a small and collaborative team, the successful candidate will support member services, MLS® System administration, committee activities, educational programs, events, and office operations. The ideal candidate is organized, service-oriented, adaptable, and enjoys working in an environment where collaboration and initiative are valued.
Over time, the successful candidate will have opportunities to assume increased responsibility in committee coordination, event planning, and member service delivery.
Key ResponsibilitiesMember Services
- Serve as a primary point of contact for member inquiries and requests.
- Provide exceptional customer service to Association members.
- Assist with membership applications, renewals, and member record maintenance.
- Maintain accurate member databases and records.
- Support member programs, services, and initiatives.
MLS® & System Support
- Provide front-line support to members regarding the REALTOR® MLS® System and Association services.
- Assist members with MLS® inquiries and direct technical issues to appropriate support resources when required.
- Maintain MLS®-related records and administrative processes.
- Support member onboarding and orientation regarding Association systems and services.
- Monitor and assist with MLS® compliance-related administrative activities as assigned.
- Liaise with technology providers and support partners regarding member service and system-related matters.
- Maintain a strong working knowledge of Association technology platforms and member-facing systems.
Event & Education Coordination
- Coordinate educational programs, networking events, and Association functions.
- Manage registrations, attendee communications, event materials, and logistics.
- Liaise with venues, speakers, vendors, and event partners.
- Assist with event promotion and participant engagement.
- Support the planning and execution of Association events and professional development opportunities.
Committee Support
- Provide administrative support to Association committees.
- Prepare agendas, meeting packages, and supporting documentation.
- Record meeting minutes and track action items.
- Coordinate committee projects and initiatives.
- Support the planning and execution of committee-led programs and events.
- Act as the primary administrative liaison for assigned committees.
Office Administration
- Support daily office operations and administrative processes.
- Manage correspondence, filing systems, records, and office supplies.
- Assist with accounts receivable, deposits, and related administrative functions.
- Prepare reports, spreadsheets, and statistical information as required.
- Maintain organized and accurate records in accordance with Association policies and procedures.
- Assist with special projects and other duties as assigned.
Communications Support
- Assist with member communications and event notices.
- Support website updates, newsletters, and social media content as required.
- Contribute to member engagement and promotional initiatives.
- Assist in the preparation of informational and promotional materials.
QualificationsRequired
- Strong administrative, organizational, and time-management skills.
- Excellent written and verbal communication skills.
- Outstanding customer service and interpersonal abilities.
- Proficiency with Microsoft 365, including Outlook, Word, Excel, Teams, and SharePoint.
- Strong technical aptitude and ability to learn industry-specific software systems.
- Ability to manage multiple priorities and meet deadlines.
- High level of accuracy and attention to detail.
- Ability to work independently while contributing positively to a small team environment.
Preferred
- Two to three years of administrative, customer service, or office coordination experience.
- Experience coordinating meetings, events, or educational programs.
- Experience working with committees, boards, volunteers, or membership-based organizations.
- Experience with membership databases or industry-specific software systems.
- Experience with newsletters, website updates, social media, or member communications.
- Familiarity with Canva or similar design software.
- Knowledge of the MLS® System or experience working in the real estate industry.
- Association, non-profit, or customer service experience.
