Qualifications

MINIMUM FORMAL EDUCATION/TRAINING:

- A university degree in a related discipline, preferably commerce, is required.
- An MBA or equivalent degree is preferred.
- Minimum 2 years of directly-related administrative experience working in a university setting is preferred.
- Experience with university level case competition is preferred.
- Previous participation in, or coaching of, case competitions would be an asset.
- Knowledge of the University of Manitoba’s and the I.H. Asper School of Business’s policies is preferred.
- An acceptable equivalent combination of education and experience may be considered.

EXPERIENCE:

- Experience coordinating student programs, extracurricular activities, or competitive teams, including recruitment, selection, and ongoing student support, is required.
- Experience planning and delivering events, workshops, or training sessions, including scheduling, logistics, materials preparation, and in office coordination, is required.
- Experience of recruiting, coordinating, and supporting volunteers is preferred.
- Experience administering application, selection, or evaluation processes, including the handling of sensitive and confidential student or personal information, is required.
- Experience preparing, summarizing, and analyzing records and statistics for reporting purposes is required.
- Experience in managing and maintaining comprehensive databases and records for annual and KPI reporting is required.
- Understanding of business case competitions and their formats is strongly preferred.
- Experience working with technologies required to facilitate appropriate learnings such as VR technology, Advanced PowerPoint and slide building platforms, is required.
- Experience working with various LLMs and understanding of use-cases relevant to support learning in a case environment is required.
- Experience working with student groups, student executives, or student associations is preferred.
- Strong experience of creating and manipulating Excel reports is preferred.
- Experience supporting budget preparation, expense tracking, and account reconciliation is an asset.
- Experience working with the University of Manitoba’s internal financial systems such as Concur, EPIC and Fast, is an asset.
- Experience supporting sponsorship, fundraising, or partnership development activities is an asset.
- An acceptable equivalent combination of education and experience may be considered.

- Must be able and willing to travel with student delegations to competitions within Canada and, occasionally, internationally.

Key responsibilities

Program Coordination and Administration

- MBA Games
- Lead the planning and execution of Team Asper's participation in the MBA Games, Canada's largest annual competition for MBA students, held each January at a rotating host school and combining academic case competitions with athletic events, team spirit activities, and a charitable fundraising component.
- Oversight of administrative functions of the team including funding, sponsorship, direction to the team leadership and adherence to policies and procedures.
- Coordinate the recruitment, application, and selection process for the Asper MBA Games delegation, in collaboration with the Graduate Programs Office and the MBA Student Association.
- Coordinate the delegation's training calendar, including case preparation workshops, practice cases, and mock presentations with faculty and industry coaches.
- Administer and maintain travel logistics and documentation, including registration, accommodation, travel claims, and required University travel forms and waivers.
- Coordinate the delegation's charitable fundraising activities and report outcomes at the conclusion of the competition.

- ACES, JDC West (ACES, JDCW)

- Lead the planning and execution of Team Asper's participation in JDC West, the largest undergraduate business competition in Western Canada, bringing more than 600 delegates from twelve institutions across British Columbia, Alberta, Saskatchewan, and Manitoba together for three days each January.
- Oversight of administrative functions of the team including funding, sponsorship, direction to the team leadership and adherence to policies and procedures.
- Oversight of the ACES student group’s activities including fundraising, industry engagements and consulting engagement framework.
- Coordinate the recruitment and selection of the Asper JDCW delegation across the ten academic disciplines, as well as the debate, challenge, team spirit activities including the charitable fundraising, and athletics components.
- Coordinate the year-long training cycle for academic teams, including the scheduling of practice cases, three-hour timed simulations, presentation skill development activities etc.
- Facilitate student, faculty, alumni, and business community stakeholder communication and training on the JDCW Competition, their role or how they could contribute.
- Support the JDCW student executives in planning, team-building activities, and the community involvement and philanthropy requirements that contribute to School of the Year standings.
- Manage travel logistics, delegate documentation, and on-site coordination for the competition.
- Lead the planning, organization and execution of hosting the JDCW competition at Asper when the school hosts the competition.

- Asper Business Case Competition and Asper High School Case Competition

- Support the planning and execution of the Asper Business Case Competition and the Asper High School Case Competition under the direction of the Administrator, Competition Events.
- Assist with volunteer recruitment, scheduling, and on-site coordination of judges, timekeepers, and room hosts.
- Assist in preparation and distribution of competition materials, judging packages, schedules, scoring sheets, and delegate information packages.
- Facilitate access to the Drake Centre as required for competition activities.

- Internal Case Competitions

- Support the coordination of internal case competitions for undergraduate and graduate students, working with the Vice President Academic of the Commerce Students Association and other student groups (stags) on scheduling, student recruitment, and judge recruitment.
- Support the coordination for room bookings, catering, materials, and technology requirements for competition days.
- Process Development and Recordkeeping o Lead the development, implementation,



and refinement of operational procedures related to case competitions, including application, selection, peer evaluation, and training processes.
- Serve as the primary staff point of contact for case-related student groups, including ACES, Asper JDCW, Graduate Student Association etc.
- Support student executives with governance, planning, budgeting, communications, and transition between executive terms.
- Manage the application and recruitment process for case competition teams, including the preparation and timely delivery of acceptance and regret correspondence.
- Maintain comprehensive records and databases, including the collection and review of sensitive and confidential information related to case competitions, participating students, advisors, coaches, and volunteers.
- Ensure all required student travel documentation is completed, and securely stored.
- Assist in the preparation of term and annual reports, including participation metrics, expense summaries, and stakeholder engagement, and prepare the annual KPI report.
- Assist in recruitment and coordination of volunteer coaches and judges across the competition portfolio.
- Collaborate with faculty, staff, and external partners on competition delivery, student recruitment, and coaching capacity.

Student Advising, Training and Mentorship

- Student Advising
- Serve as the primary point of contact for case competition inquiries from undergraduate and graduate students.
- Advise students on competition options, eligibility requirements, application timelines, and presentation expectations.
- Educate students, faculty, staff, and external stakeholders on what case competitions are and the academic, professional, and how they could contribute.

- Selection and Peer Evaluation

- Design and maintain application forms and selection criteria for internal and external competition teams.
- Coordinate tryouts, interviews, and mock case presentations with coaches and industry volunteers, and confirm applicant eligibility against competition rules and academic standing requirements.
- Administer the peer evaluation process following practice sessions and competitions, in which team members assess one another's preparation, contribution, collaboration, and presentation performance.
- Compile peer evaluation results for coaches and ensure feedback is returned to students constructively and confidentially to inform future team selection and individual development.

- Training and Workshops

- Collaborate with, coordinate, and manage case preparation workshops with student groups (ACES) and teams (JDCW, MBA Games, and external case competition teams).
- Schedule and organize practice cases, mock presentations, and skills workshops, and prepare the associated cases and judging materials.
- Recruit faculty, alumni, and business community volunteers to serve as coaches and practice judges, and track attendance and student progress across the training cycle.
- Facilitate, coordinate or deliver training sessions and workshops during evenings and weekends as required in the months leading to major competitions.

Financial Administration

- Support the preparation of the annual case competition budget, including delegation budgets for the MBA Games and JDC West.
- Support financial transactions and reimbursement processes, ensuring compliance with University and Program financial policies.
- Support the preparation of the Monthly Operating Reconciliation (MORs).
- Support the preparation and processing of Prize Forms.
- Assist in the preparation and review of travel claim forms for competition delegations.
- Support the sponsorship strategy for the competition portfolio, including the preparation of sponsorship materials and the tracking of sponsor deliverables.
- Other duties as assigned.
