Role SummaryVoice of Men 360 seeks a reliable, organized, and motivated Administrator to support the organization's day-to-day administrative activities. The Administrator will help maintain records, coordinate communications, organize documents and meetings, support volunteers and programs, and assist with general office and operational tasks.
This position is an excellent opportunity for a student or volunteer to gain practical experience in nonprofit administration, office management, community services, communications, and organizational operations while contributing to initiatives that support the well-being of men and boys.
Key Duties & ResponsibilitiesThe Volunteer Administrator may be responsible for:
- Providing general administrative support to the President, Board of Directors, and program team.
- Organizing and maintaining electronic files, documents, forms, policies, and organizational records.
- Prepare meeting agendas, take meeting minutes, and maintain action-item lists.
- Scheduling meetings, programs, volunteer activities, and other organizational events.
- Managing and responding to general emails and inquiries as directed.
- Maintaining volunteer, placement student, partner, and community contact information.
- Assisting with volunteer and student onboarding documentation.
- Preparing letters, reports, presentations, spreadsheets, forms, and other administrative materials.
- Supporting registration and recordkeeping for programs, workshops, meetings, podcasts, and special events.
- Following up with team members regarding assigned tasks, deadlines, meetings, and required documents.
- Assisting with data entry and maintaining organizational databases and tracking sheets.
- Support community outreach, partnership correspondence, and event administration as needed.
- Maintain confidentiality and handle sensitive organizational and participant information appropriately.
- Assist with other reasonable administrative and operational duties as assigned.
- Candidate RequirementsThe ideal candidate should:
- Be organized, dependable, responsible, and able to manage multiple tasks.
- Have good written and verbal communication skills.
- Have basic knowledge of Microsoft Word, Excel, PowerPoint, Outlook, Google Docs, Google Sheets, or similar applications.
- Be comfortable using email, online meeting platforms, shared drives, and other digital tools.
- Have good attention to detail and recordkeeping skills.
- Work independently while also collaborating effectively with a team.
- Demonstrate professionalism when communicating with volunteers, students, community partners, service providers, and members of the public.
- Follow instructions and meet agreed-upon deadlines.
- Respect confidentiality, privacy, diversity, inclusion, and professional boundaries.
- Demonstrate an interest in nonprofit/community-based work and the well-being of men, boys, families, and communities.
- Previous administrative or volunteer experience is an asset but not required. Training and guidance will be provided.
Students in programs such as Business Administration, Office Administration, Community Services, Social Services, Human Resources, Nonprofit Management, Communications, Public Administration, or related fields are encouraged to apply.
Time Commitment
- Approximately 3–5 hours per week, depending on organizational needs and the volunteer's availability.
- We prefer a commitment of approximately 3–6 months.
- Hours may be flexible and arranged around school, employment, or other responsibilities.
- We may occasionally request evening or weekend availability for meetings, programs, or special events.
- For student placements, hours and responsibilities may be adjusted to meet the educational institution's requirements.
