Automotive Accounting Clerk

Pacific Nations Auto Sales & Finance is looking for a highly organized and detail-oriented Automotive Accounting Clerk to join our team.
This is a broad, hands-on automotive accounting and dealership administration position working alongside our Controller and accounting team.
While vehicle inventory accounting and administration will be a primary area of responsibility, this is not strictly an accounting or inventory position. The successful candidate will be involved in a variety of administrative and operational functions throughout the dealership and will be cross-trained to provide coverage within our accounting department when required.

Primary Responsibilities
Vehicle Inventory & Accounting
- Stock purchased vehicles and trades into PBS
- Maintain accurate vehicle inventory records
- Process vehicle purchase invoices and inventory-related payables
- Track inventory-related receivables
- Ensure costs are accurately assigned to the correct vehicle and stock number
- Post transportation, auction, mechanical, reconditioning and other vehicle costs
- Maintain acquisition and ownership documentation
- Track purchased vehicles that have not yet arrived
- Maintain wholesale vehicle records
- Track sold vehicles through completion of the inventory process
- Assist with inventory and accounting reconciliations
- Investigate and resolve discrepancies
Vehicle Transportation & Administration
- Arrange transportation for incoming and outgoing vehicles
- Communicate with transportation companies and vendors
- Coordinate vehicle pickups and deliveries
- Track vehicles while in transit
- Confirm vehicle arrivals
- Maintain transportation documentation
- Ensure transportation charges are allocated to the appropriate vehicle
- Follow up on delays or transportation issues
- Maintain accurate vehicle location and status information
Floor Plan Administration
- Maintain floor-plan records
- Assist with adding vehicles to floor plan
- Coordinate floor-plan payouts on sold vehicles
- Reconcile floor-plan records against dealership inventory
- Investigate discrepancies and outstanding items
Physical Inventory Control Complete a weekly physical inventory audit to ensure every vehicle owned by the dealership is accounted for.
This includes physically verifying vehicles on site and maintaining documented locations for vehicles that are:
- In transit
- At service or reconditioning facilities
- Off-site
- Sold and awaiting delivery
- Otherwise temporarily away from the dealership
Inventory records should reconcile between physical inventory, PBS and floor-plan records. General Accounting & Dealership Administration
As part of our accounting and administrative team, this position will also be cross-trained and may assist with:
- Accounts payable
- Accounts receivable
- Invoice entry and coding
- Vendor reconciliations
- Banking and deposits
- Credit-card reconciliations
- Deal-file administration
- Funding and receivable follow-up
- Accounting records and filing
- Vendor communication
- General dealership administration
- Other accounting and administrative duties as required
- Providing coverage for other members of the accounting team during vacations, absences and high-volume periods
Who We’re Looking For We’re looking for someone who is:
- Highly organized and detail-oriented
- Comfortable working with numbers
- Strong with computers and administrative systems
- Able to manage multiple priorities at the same time
- Comfortable communicating with vendors and transportation companies
- Willing to pick up the phone and solve problems
- Able to investigate discrepancies and follow them through to resolution
- Comfortable working independently
- Equally comfortable working as part of a team
- Flexible and willing to assist in different areas of the dealership when required
Automotive dealership experience is strongly preferred. Previous experience in dealership accounting, inventory administration, AP/AR, deal administration, vehicle administration or another automotive office position would be particularly valuable.
PBS Systems experience is an asset.
We believe in cross-training our accounting team. Each person will have primary areas of responsibility, but everyone should have enough understanding of the department to support one another when required.
