OVERVIEW:

The Business Systems Specialist supports BCIHS business systems by helping ensure approved applications are reliable, functional, and responsive to operational needs. Reporting to the Director, Information Technology, this role provides day-to-day functional support, basic system administration support, troubleshooting, user assistance, training support, and coordination with vendors or internal resources as directed. The position supports implementation, adoption, and maintenance of approved system processes and improvements.

KEY ACCOUNTABILITIES:

The Business Systems Specialist is accountable for:

Enterprise Application Support (70%)

Providing day-to-day support for approved enterprise business applications

- Providing first-level functional support, troubleshooting, escalation, and follow-up for business system users.
- Supporting systems such as UKG, Yardi, Ingenious, Microsoft 365 including SharePoint Online, and other approved business applications.
- Tracking and responding to application support requests in a timely and service-oriented manner.
- Reviewing common system issues and escalating complex matters for direction or resolution.
- Assisting with access administration, testing, upgrades, release activities, and routine system maintenance
- Identifying recurring user questions or system issues and share observations with the Director, Information Technology.
- Supporting basic system documentation, user guidance, and application support records.

Business Systems Support & Analysis (15%) Assisting with documentation, testing, and implementation of approved system improvements.

- Gathering and documentation user needs, process information, and functional requirements as directed.
- Supporting preparation of system documentation, workflow notes, and user support materials.
- Assisting with reviewing system functionality and identifying user experience or process concerns.
- Providing input into enhancement requests, reports, workflows, and process improvements.
- Assisting with testing, user acceptance activities, and quality assurance for approved system changes.




- Supporting approved technology initiatives, configuration changes, and implementation activities as assigned.
- Assisting with readiness, communication, and adoption activities for system changes.

Process Support & Adaption (15%) Supporting use of approved processes, tools, and digital adoption activities.

- Assisting with reviewing workflows and identifying practical improvements for efficiency, consistency, and user experience.
- Documenting current processes, basic workflows, and user procedures.
- Preparing and maintaining SOPs, user guides, job aids, and training materials.
- Supporting staff adoption of approved digital tools, automation features, AI-enabled tools, and Microsoft 365 solutions.
- Assisting with communication, training, and user support for system and process changes.
- Supporting consistent data entry, records practices, reporting inputs, and system use.
- Supports KPI reporting on system use, adoption, and process improvements.
- Performs other related duties as required.

QUALIFICATIONS: Education, Training & Experience

- Diploma or degree in Business Administration, Information Systems, Information Technology, Business Analysis, Operations Management, Public Administration, or related field; equivalent experience may be considered.
- Minimum three (3) years of experience supporting business systems, applications, help desk functions, or operational technology solutions.
- Experience with end-user support, troubleshooting, system administration support, vendor coordination, and application enhancements.
- Experience documenting requirements and supporting system testing, configuration, training, or adoption activities.
- Experience in a multi-site, public sector, non-profit, housing, Indigenous organization,



or similarly complex workplace is an asset.

Knowledge, Skills & Abilities

- Familiarity with platforms such as UKG, Yardi, Ingenious, or similar enterprise systems.
- Working knowledge of Microsoft 365, including Teams, SharePoint, Outlook, Excel, Word, Copilot, Forms, and related tools.
- Experience supporting software functionality, workflow, configuration, and user requirements.
- General understanding of workflow tools, reporting tools, automation, and AI-enabled tools is an asset.
- Experience supporting technology adoption, application updates, or organizational change activities.
- Coursework or training in Business Analysis, Project Management, Change Management, IT Service Management, Microsoft 365, Power Platform, or related areas.
- Knowledge of Indigenous cultures, traditions and history highly beneficial
