Cleaning Operations Coordinator

Aisling Baile Inc. is a fast-growing short-term rental property management company operating across British Columbia and Alberta. We manage approximately 300 vacation rental properties and support a large seasonal cleaning operation across multiple communities.
We are looking for a highly organized, calm-under-pressure Cleaning Operations Coordinator to help manage the day-to-day flow of our cleaning department.
This role is perfect for someone who loves organizing moving pieces, solving problems quickly, communicating with a large team, and making sure nothing falls through the cracks.

What You'll Be Responsible For
Daily Cleaning Schedule
· Build and manage the daily cleaning schedule
· Assign cleaners to properties based on location, workload, skill level and availability
· Monitor same-day turnovers and cleaning progress throughout the day
· Reassign cleans when call-outs or unexpected issues arise
· Coordinate last-minute changes caused by early arrivals, late departures or additional bookings
· Ensure all required cleans are assigned and completed on time
· Balance workloads fairly across the cleaning team
Cleaner Communication
· Act as a primary daily contact for cleaners regarding scheduling and assignments
· Communicate schedule changes clearly and quickly
· Respond to cleaner questions regarding property assignments
· Coordinate coverage for absences and call-outs
· Ensure employees understand where they are expected to be and when
· Support a professional and organized communication flow between cleaners and management
Operations Coordination
Work closely with
· Cleaning Operations Manager
· Cleaning Supervisors
· Maintenance
You will help ensure departments communicate effectively when cleaning schedules are affected by maintenance issues,
guest concerns, missing supplies, late departures or other property-related problems.
Seasonal Workforce Planning
Our business has significant seasonal fluctuations, so this role will help prepare for peak operating periods.
Responsibilities may include
· Monitoring available staffing levels
· Identifying upcoming scheduling shortages
· Helping determine seasonal staffing requirements
· Assisting with contractor scheduling when needed
· Identifying areas where additional labour is required before problems occur
Time & Labour Tracking
· Review cleaning time records for accuracy
· Identify unusually long or short property clean times
· Assist management with tracking labour hours
· Monitor overtime and scheduling efficiency

You do not need to come from the short-term rental industry, but experience in scheduling, dispatch, hospitality, cleaning operations, logistics, workforce coordination or administration would be a strong asset.
Experience We'd Love to See
· Previous scheduling or workforce coordination experience
· Experience managing employee schedules
· Experience working in hospitality, tourism, cleaning, property management or logistics
· Strong computer and administrative skills
· Experience using scheduling or workforce management software
· Breezeway experience is an asset but not required
· Experience working in a seasonal or high-volume environment is an asset
Schedule
This is a full-time position.
Because cleaning operations are busiest on weekends and during peak travel periods, availability on weekends and holidays will be required.
The specific schedule will be discussed during the interview process.
