Symbiosis Pediatric Therapy is a growing multidisciplinary clinic specializing in providing therapy and consultation services for children and their families.
We are seeking an organized and proactive full-time Clinic Manager to join our team at our Abbotsford location. This role is vital in ensuring the smooth and efficient functioning of our clinic, leading a team, and providing administrative support. The ideal candidate will have strong people management skills, excellent organizational abilities, and a passion for fostering a collaborative environment.
Key Responsibilities:People Management:
- Support internal staff communications and address questions related to clinic operations.
- Retain families by de-escalating concerns and maintaining positive relationships.
- Coach, mentor, and manage team members to ensure high performance and accountability.
- Supervise staff, conduct routine performance evaluations, and support onboarding and training.
- Foster a collaborative and solution-focused environment, maintaining a strong presence among staff.
Funding and Billing:
- Oversee client billing and coordinate with insurers, ensuring accurate linkage of sessions and updated provider information.
- Monitor and maintain funding trackers, providing guidance on funding policies as needed.
- Maintain in-depth knowledge of funding practices and advise Clinic Coordinators (CCs) on processes (e.g., AHP forms).
Administrative Duties:
- Recommend and implement organizational or procedural changes for improved efficiency.
- Manage clinic coordinator schedules, time-off requests, and ensure adequate coverage.
- Oversee intake processes, track new intakes, and ensure completion.
- Ensure staff compliance with privacy protocols and clinic policies.
- Track goals and updates for the Speech and Occupational Therapy Departments.
Clinic Operations:
- Ensure smooth clinic operations by coordinating staff schedules and appointments.
- Monitor billables, timesheets, and clinic expenditures within the approved budget.
- Address operational issues (e.g., HVAC malfunctions, leaks) and communicate with contractors (e.g., cleaners, maintenance).
- Maintain clinic cleanliness and safety protocols, ensuring proper sanitization methods.
- Manage inventory and occasionally travel to the storage unit for supplies.
Additional Responsibilities:
- Coordinate staff meetings and provide support to key stakeholders (Clinic Directors, Assistant Directors, Human Resources).
- Lead or participate in special projects as needed, developing standards for implementation.
- Handle occasional errands (e.g., key cutting, picking up urgent supplies).
- Oversee petty cash at respective clinics.
Requirements:
- Post secondary education in healthcare, business management and/or administration is required, along with a minimum of 2 years senior office administration/coordinator or management experience.
- The ability to multi-task under pressure in a fast-paced environment,
and demonstrate excellent time management skills in a fast-paced environment coupled with superior communication skills, both written and oral, is an absolute must.
- Maintain a high level of integrity, strong yet diplomatic communication, organizational and financial skills.
- Create a warm, friendly and professional environment that fosters continuous learning and development.
- Knowledge of Jane software for appointments would be highly useful.
- Knowledge of the system within the Ministry of Child & Family Development surrounding third-party funding serving families in the autism and neurodivergent community (understanding of AFU/AHP funding) would be highly practical.
- A proven ability to use tact, compassion and discretion when handling confidential matters.
- A proven ability to successfully work independently and within a team, with a great deal of accuracy and attention to detail with little supervision.
- Proficiency in Microsoft Word/Excel and Google drive Docs/Sheets is required and strong computer competency skills
- Knowledge of Hindi and/or Punjabi will be an asset.
- Drivers' license recommended as the Clinic Manager may be required to occasionally run errands, participate in meeting at HQ, etc.
- Priority will be given to those who would be willing to work a Saturday from time to time.
