Clinical Technician & Program Lead – Mole Mapping

Skin Worthy is seeking a highly organized, self-directed Clinical Technician to lead the day-to-day operation of our Mole Mapping program using the FotoFinder ATBM Master 4th Gen imaging system.
This is not simply a photography or task-based support role. You will take ownership of the Mole Mapping patient journey—from the first enquiry and appointment booking through imaging, physician coordination, biopsy tracking, results follow-up and rebooking.
We are looking for a resourceful self-starter who sees what needs to be done, creates structure, solves problems and follows every important task through to completion. You will be trusted to organize your work, anticipate the needs of the physician and patients, identify gaps before they become problems and continuously improve how the program operates.
You will work independently for much of the day while remaining closely connected to the physician, reception and the broader Skin Worthy team.
This is a clinical imaging and program-coordination position, not a diagnostic role. The Clinical Technician does not diagnose skin conditions, interpret pathology or independently give medical advice. Clinical decisions remain the responsibility of the physician.
What You Will Own
As the operational lead for Mole Mapping, you will be responsible for:
- The daily organization and performance of the Mole Mapping program
- A professional, comfortable and well-coordinated patient experience

- The Mole Mapping appointment schedule and physician-day preparation
- The

- Patient follow-up, appointment confirmations, recalls and rebooking
- Biopsy requisition preparation, specimen coordination and results tracking
- Complete and accurate documentation across FotoFinder, OSCAR and Salesforce
- Imaging-room and clinical-room readiness
- Program checklists, task lists, service standards and quality controls
- Identification and resolution of workflow problems
- Reliable handoffs to the broader Skin Worthy team when you are unavailable
Key ResponsibilitiesProgram Leadership and Independent Work
- Take ownership of the Mole Mapping program’s daily workflow, priorities and outstanding tasks.
- Organize your work independently without requiring continuous direction or reminders.
- Anticipate what patients, physicians and reception will need before each clinic day.
- Identify scheduling, documentation, communication or workflow problems and take appropriate action to resolve them.
- Build and maintain practical checklists, trackers, templates and standard operating procedures.
- Keep open items visible and follow them through to confirmed completion.
- Escalate clinical, privacy or safety concerns promptly while independently resolving routine operational issues.
- Recommend improvements that make the program more efficient, reliable and patient-focused.
- Communicate clearly when priorities conflict, information is missing or a deadline may not be met.
- Provide the Clinic Manager with concise updates on program activity, risks and unresolved items.
Patient Experience
- Welcome patients and explain the Mole Mapping process in clear, reassuring language.
- Confirm patient identity, appointment type, required documentation and consent.
- Provide privacy, gowns, draping, changing time and chaperone options according to clinic policy.
- Guide patients confidently through positioning and photography while preserving their comfort and dignity.
- Recognize when a patient question or concern requires physician attention.
- Provide physician-approved education without offering a diagnosis or medical opinion.
- Create an experience that is organized, compassionate and consistent with Skin Worthy’s standards.
FotoFinder Total-Body Photography
- Operate the FotoFinder ATBM Master 4th Gen after completing required training and competency assessment.
- Position patients accurately using the positioning mat, laser guide, standardized poses and Skin Worthy imaging protocols.
- Capture the standard image series and additional physician-requested views.
- Adapt positioning for mobility limitations, body shape, hair, skin folds or other factors that may affect coverage.
- Review images for focus, lighting, framing, overlap, cropping, coverage and visible obstructions before the patient leaves.
- Repeat images when necessary and document areas that could not be adequately photographed.
- Maintain consistent room setup, lighting, background, camera distance and positioning between appointments.
- Reproduce previous positioning as closely as possible during follow-up imaging.
- Upload, label and associate all images with the correct patient, date and anatomical location.
Dermoscopic Imaging and Physician Support
- Capture properly labelled close-up and dermoscopic images according to training and physician direction.
- Ensure images are in focus, free of glare and attached to the correct anatomical location.
- Prepare current and previous images, software outputs and available AI scores for physician review when permitted by clinic policy.
- Do not independently select lesions for diagnostic analysis or interpret software findings.
- Prepare the physician’s charts, prior images, reports and outstanding action items before each clinic.
- Coordinate patient flow so the physician can move efficiently between image review, examinations, procedures and follow-up discussions.
- Turn over and prepare the clinical room following each patient encounter.
Mole Mapping Inbox and Omni-Channel
- Serve as the primary owner of enquiries sent to
[email protected].
- Monitor and manage Mole Mapping cases through Salesforce Omni-Channel while on duty.
- Set the correct Omni-Channel presence status at the beginning and end of each shift and whenever temporarily unavailable.
- Accept, categorize, document and respond to cases within Skin Worthy’s service standards.
- Resolve routine scheduling and administrative enquiries independently.
- Escalate clinical questions, concerning symptoms and requests for medical advice to the physician.
- Coordinate with reception regarding patient communications by telephone and SMS.
- Ensure relevant communications are saved to the appropriate patient record.
- Before going offline or out of office, resolve assigned cases or transfer outstanding work to the Skin Worthy team.
- Never leave urgent, biopsy-related, results-related or time-sensitive communications without a documented handoff.
Scheduling and Physician-Day Coordination
- Book initial Mole Mapping appointments, follow-up imaging, physician assessments, biopsies and results-review appointments.
- Select the correct appointment type, duration, provider and required resources.
- Ensure patients receive confirmations, reminders, preparation instructions and required forms.
- Follow up on unconfirmed, missed or cancelled appointments.
- Maintain accurate and synchronized physician schedules in OSCAR and Salesforce.
- Review upcoming schedules for conflicts, gaps, missing information and opportunities to fill cancellations.
- Confirm that prior photographs, reports, referrals, pathology results and correspondence are available before the physician day.
- Flag unresolved follow-ups, pending biopsies or missing results for physician attention.
- Communicate delays and scheduling changes promptly to patients and the Skin Worthy team.
Biopsy and Specimen Coordination
- Assist the physician in preparing biopsy and pathology requisitions.
- Confirm that requisitions contain the required patient, physician and specimen information.
- Prepare and label specimen containers using two approved patient identifiers.
- Verify that the container, requisition and patient record contain matching information.
- Maintain an accurate specimen log.
- Package specimens according to clinic and laboratory requirements.
- Coordinate and document laboratory pickup or delivery.
- Promptly resolve or escalate missing information, labelling discrepancies, delayed pickups or other specimen concerns.
- Maintain biopsy and procedure supplies.
The Clinical Technician assists with documentation and logistics but does not perform biopsies unless separately qualified, authorized and permitted to do so within their professional scope. Results and Follow-Up Tracking
- Maintain a secure and current tracking system for all biopsies, pathology reports and physician-directed follow-ups.
- Monitor for incoming results and match each result to the correct patient and biopsy site.
- Route results promptly to the responsible physician for review and sign-off.
- Follow up with the laboratory regarding overdue or missing reports.
- Track every case until physician review and all required patient follow-up have been completed.
- Arrange physician-directed follow-up appointments, referrals, procedures or other next steps.
- Document patient-contact attempts and outstanding actions.
- Escalate unresolved or overdue items before they become patient-safety concerns.
- Confirm completion before closing a result or follow-up task.
The Clinical Technician does not interpret pathology findings or independently communicate a diagnosis. Privacy, Safety and Quality
- Treat total-body and dermoscopic images as highly sensitive personal health information.
- Access records only when required for assigned duties.
- Never use a personal device to photograph a patient or transfer patient information through an unapproved channel.
- Verify patient identity before discussing appointments, results or procedures.
- Maintain accurate, objective and timely documentation.
- Complete daily equipment and room-safety checks.
- Clean and disinfect equipment and surfaces according to clinic protocols.
- Inspect the positioning mat, power cords, cables and camera components before use.
- Stop using and report damaged or unsafe equipment.
- Maintain appropriate levels of photography, biopsy, cleaning and patient-care supplies.
- Participate in image-quality, documentation, scheduling and results-tracking audits.

Required Qualifications
- Diploma or certificate in healthcare, medical office administration, medical imaging, medical aesthetics, photography or a related field—or equivalent relevant experience.
- Direct patient or client experience in healthcare or another sensitive professional environment.
- Demonstrated experience independently managing responsibilities, deadlines and follow-up tasks.
- Strong problem-solving, organizational and decision-making skills.
- Excellent attention to detail and commitment to accurate documentation.
- Strong computer skills and confidence learning FotoFinder, OSCAR, Salesforce and other clinical systems.
- Clear professional communication by telephone, email, SMS and in person.
- Ability to maintain confidentiality and handle sensitive patient information.
- Current CPR/BLS certification or willingness to obtain it within the required timeframe.
- Successful completion of Skin Worthy’s FotoFinder and internal competency training.
Preferred Qualifications
- Experience in dermatology, medical imaging, clinical photography or medical office administration.
- Experience with FotoFinder, OSCAR, Salesforce Service Cloud or Omni-Channel.
- Experience coordinating biopsies, pathology requisitions, specimens or clinical results.
- Experience managing a shared clinical inbox, recall list or results-tracking system.
- Training in infection prevention, patient privacy or medical chaperoning.
- Experience helping launch, organize or improve a new clinical service.

Scope and Clinical Boundaries The Clinical Technician must not:
- Diagnose melanoma, skin cancer or another medical condition.
- Tell a patient that a lesion is benign, malignant, normal, suspicious or unchanged.
- Represent Mole Mapping as a complete physician skin examination.
- Independently interpret AI scores, pathology results or software comparison findings.
- Recommend biopsy, treatment, referral or a follow-up interval.
- Reassure a patient that no further medical assessment is required.
- Communicate clinical results without physician authorization.
- Close or alter a physician-directed follow-up plan without authorization.
Any urgent symptom, clinical concern, specimen discrepancy, overdue result, privacy incident or uncertainty about scope must be escalated promptly.
