The Front Desk / Concierge is responsible for greeting (in-person, by telephone, e-mail enquiries) all guests to the Care Community and /or Retirement Residence; and for monitoring the safe movement and security of its residents. As part of the administrative staff s/he will perform other clerical duties as assigned by the Kitchen Manager and / or designate to support the efficient and safe operation of the Care Community and / or the Retirement Residence.
As a valued member of the team, the Receptionist / Concierge demonstrates a commitment to the quality of resident care by providing services in accordance with the organization’s vision, mission and values.
This position will be responsible for a variety of duties, which includes, but not limited to the following:
Reception
· Answering, screening and directing all telephone calls
· Greeting all visitors with utmost courtesy, determining nature and purpose of the visit and directing visitor to the proper location and or person as required
· Inform Team Member of Visitor’s arrival
· Answers questions and / or responds to enquiries in a prompt, professional manner
· Promotes a positive / professional working environment with Service Providers and Suppliers working with the Care Community and / or the Retirement Residence
Security, Health and Safety
· Monitors security cameras
· Monitors the arrival and departure of all residents from the Care Community and / or Retirement Residence
· Logging of resident movement both into and out of the Care Community and / or Retirement Residence
· Work in accordance with Chalmers Foundation Health and safety Policies and Procedures and in compliance with provincial Occupational Health and Safety requirements
Other Administration
· Sorting and distribution of mail
· Mailing of all cumulated outgoing mail
· Preparing courier packages and arrange for their pick-up
· Performing incidental clerical work including typing, filing delivering messages, sorting, printing, photocopying, faxing – as assigned by the Kitchen Manager and / or designate to support the efficient operation of the care Community and / or Retirement Residence
· Receiving, logging and distributing cheques from Accounting
· Assisting with inner office functions as required and as assigned by the Kitchen Manager and /or designate
· Tracking equipment as required
· Supports and assists the Kitchen Manager and / designate as required / assigned in the completion of monthly audits and in administering Accounts billing data entry (i.e., uploading vendor invoices into Yardi)
· Create Emergency contacts
· Support and assist the Kitchen Manager and/or designate in maintaining up to date resident listings
· Support and assist the Kitchen Manager and / or designate in the charts and files for current resident admissions
· Performs other duties as required / assigned
REQUIREMENTS AND QUALIFICATIONS
· Records Management
· High school diploma or equivalent
· Intermediate working knowledge of MS Office (Word, Excel, Outlook, PowerPoint) , Teams, internet use
· Exceptional customer service
· Excellent problem-solving skills
· Strong administrative detail orientation, deadline-driven and organizational skills.
· Demonstrated internal service-oriented collaboration
· Excellent verbal and written English communication skills required
· Experience in a healthcare environment would be an asset
· WHMIS Certificate required
· Criminal Record Check (Regular & Vulnerable Sector) clearance required

Pay: $21.99 per hour
