About Us

Verification and Inspection Professionals Inc. (VIP Meter Services) is a trusted Canadian provider of end-to-end submetering solutions. We specialize in project management, commissioning, and field support for water, thermal, and electrical metering systems across residential, commercial, and industrial buildings. With over 40 years of combined team experience, we're known for precision, regulatory compliance, and responsive service that our clients can count on.

About the Role

Every meter we certify and every inspection we sign off on is backed by accurate, well-organized records. As our Document Control Coordinator, you'll be the person who makes that possible. You'll keep our procedures, forms, training records, and inspection documentation current and easy to find, so our teams can work with confidence and our clients can trust the results.

This is an ideal first step into a career in quality and compliance. You don't need prior document control experience; we'll teach you how a quality management system works from the ground up. What you bring is a sharp eye for detail and real satisfaction in getting things right.

Why Join Us

- Real impact from day one. Your work directly supports the inspections and certifications our clients rely on.
- A career, not just a job. Document control is the foundation of quality and compliance work. As you build your skills, there's a clear path to grow into QMS and compliance roles at VIP.
- Learn from people who know the industry. You'll be trained and supported by an experienced team that wants to see you succeed.
- Your ideas count. We run on clear processes, and we want your input on making them simpler and better.

What You'll Do

- Maintain our procedures, SOPs, forms, and training materials, and make sure every team is working from the latest approved version.

- Learn our document control process and help move documents through creation, review, approval, and revision, following up with authors and reviewers to keep things on schedule.
- Enter and update records with accurate file names, version numbers, and details, and archive outdated versions.
- Assemble inspection paperwork and prepare Inspection Certificates for review and signature.
- Keep client dockets complete and organized, distribute quality forms, and track the records that come back.
- Keep employee training records and quality logs up to date.
- Help the team prepare for internal and external audits and pull the records auditors need.
- Provide administrative support to the QMS team and help other departments find what they need.
- Spot opportunities to make our filing and document processes simpler and more reliable.

What We're Looking For This role is a great fit for someone with some office experience who is ready to take the next step into a career in quality and compliance.

What you'll need

- High school diploma or equivalent.
- 1–2 years of experience in an office, administrative, or data entry role.
- Strong attention to detail. You notice when something is out of place or out of date.
- Excellent organizational skills and the ability to manage several tasks and deadlines at once.
- Confidence with Microsoft 365 (Word, Excel, Outlook, Teams, and PowerPoint) and working in shared drives.
- Clear written and verbal communication,

and comfort following up with people politely and consistently.
- A dependable, methodical approach and respect for following defined procedures.

Nice to have (not required)

- A college diploma or certificate in Office Administration, Business Administration, Records and Information Management, or a related field.
- Co-op or placement experience in an office, administrative, or quality environment.
