We’re a small, entrepreneurial company where every team member has a meaningful impact. We’re looking for an Executive Assistant to CEO & Team Lead to become a trusted right hand to our Founder & CEO while helping keep our small team organized, accountable, and moving forward.

This is not a traditional administrative assistant role. We’re looking for someone highly organized, proactive, resourceful, and comfortable taking ownership. You’ll work across many areas of the business—from executive support and team coordination to operations, marketing, product development, and special projects.

Over time, the goal is for you to understand the business deeply enough to anticipate needs, make sound decisions, improve how we work, and take more off the CEO’s plate.

Key Responsibilities

- Manage and prioritize the CEO’s inbox, calendar, appointments, meetings, travel, and correspondence.
- Draft communications and handle appropriate matters on behalf of the CEO with professionalism and good judgment.
- Track priorities, deadlines, commitments, and follow-ups to ensure nothing falls through the cracks.
- Act as a central point of communication between the CEO and our small team, translating priorities into clear next steps.
- Coordinate projects, timelines, and team follow-ups while helping maintain accountability and momentum.
- Identify bottlenecks and proactively bring forward solutions.
- Prepare documents, research, meeting materials, and summaries to support projects and decision-making.
- Maintain and improve SOPs, internal systems, Google Drive organization, and operational documentation.
- Assist with inventory, Shopify, bookkeeping administration, supplies, and other operational needs.
- Support marketing initiatives, product development, new product launches,



and supplier or contractor communication.
- Take ownership of special projects from beginning to completion.
- Identify opportunities to simplify, improve, or automate workflows and reduce unnecessary dependence on the CEO.
- Provide administrative support across the CEO’s business and personal calendars as needed.

Qualifications & Skills

- 2+ years of experience as an Executive Assistant, Operations/Project Coordinator, Team Lead, or in a similar role.
- Strong organizational and project management skills with the ability to manage multiple priorities.
- Excellent written and verbal communication with strong attention to detail.
- Strong proficiency with Google Workspace; experience with Shopify, QuickBooks, Klaviyo, or similar platforms is an asset.
- Strong research, problem-solving, judgment, and decision-making skills.
- High level of discretion and professionalism with confidential information.
- Ability to work independently without constant direction or follow-up.
- Proactive, resourceful, tech-savvy, and comfortable learning new systems.
- Ability to stay organized and effective when priorities shift.
- A long-term mindset and desire to grow alongside the company.

Role Structure & Growth This position will begin part-time at up to approximately 20-25 hours per week, with reduced hours during the first month for onboarding and training.

After approximately 3+ months, there may be an opportunity to transition into full-time hours based on performance, fit, demonstrated ownership, and business needs.

We’re looking for someone who wants to deeply understand the company, become a trusted partner to the CEO, and grow alongside Scoria for the longer term.

Pay: $34.00-$42.00 per hour
