POSITION: HEALTH AND WELLNESS OFFICE ADMINSTRATOR
HOURS: 35 HOURS PER WEEK
WAGE: $27.00 TO $32.00 PER HOUR
REPORTS TO: SUMAS FIRST NATION HEALTH AND WELLNESS MANAGER
PURPOSE & SUMMARY The Health & Wellness Office Administrator is responsible for the overall administration and daily operation of the Health & Wellness Department. This position provides administrative and operational support to the Health & Wellness Manager and all Health Department staff to ensure programs are delivered efficiently and departmental operations run smoothly.
The Office Administrator serves as the central administrative resource for the department by coordinating office systems, supporting program administration, maintaining records, preparing reports, coordinating meetings and events, overseeing reception services, and ensuring consistent administrative practices across all Health & Wellness programs.
DUTIES & RESPONSIBILITIES
- Provide administrative support to the Health & Wellness Manager and all departmental staff.
- Coordinate departmental calendars, meetings, committee meetings, workshops, and community events.
- Prepare agendas, meeting packages, record minutes, and distribute action items.
- Maintain departmental filing systems and ensure records are organized, accurate, confidential, and secure.
- Prepare correspondence, reports, presentations, forms, and other departmental documentation.
- Assist program staff with funding reports, statistics, data entry, and other administrative reporting requirements.
- Coordinate travel arrangements, conference registrations, accommodations,
and expense claims.
- Process invoices, purchase requisitions, office expenditures, and maintain administrative financial records.
- Coordinate office supply purchases and maintain inventory of office equipment and materials.
- Maintain departmental policies, procedures, templates, and administrative forms.
- Coordinate room bookings, catering, hospitality, and logistical arrangements for meetings and community events.
- Act as the primary administrative contact for internal and external inquiries relating to the Health & Wellness Department.
- Maintain departmental contact lists, shared calendars, and electronic document management systems.
- Assist with onboarding new employees by preparing workspaces, administrative resources, and orientation materials.
- Assist and provide direction to the Receptionist, ensuring consistent front office operations and customer service.
- Support all Health & Wellness programs by providing administrative assistance as required.
- Develop and recommend improvements to office procedures and administrative systems to improve departmental efficiency.
- Maintain strict confidentiality of employee, client, and organizational information.
- Perform other related duties as assigned.
QUALIFICATIONS
- Diploma in Office Administration, Business Administration, or a related field, or an equivalent combination of education and experience.
- Minimum three (3) years of progressively responsible administrative or office management experience.
- Demonstrated experience supporting multiple staff and programs within a busy office environment.
- Strong organizational and time management skills with the ability to prioritize competing deadlines.
- Excellent verbal and written communication skills.
- Advanced proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and virtual meeting platforms.
- Experience preparing reports, meeting minutes, presentations, and professional correspondence.
- Knowledge of records management, document control, and office administration practices.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
- Strong customer service and interpersonal skills with the ability to build positive working relationships.
- Ability to work independently while supporting a collaborative team workplace.
- Experience working with Indigenous organizations or First Nations communities is considered an asset.
- Appreciation and understanding of Sumas First Nation culture, traditions, and protocols.
Pay: $27.00-$32.00 per hour
Expected hours: 35.0 per week
