The Junior Payroll Assistant is a 6-month contract position responsible for providing hands-on support in payroll, benefits, and pension administration. The role ensures that employee transactions are processed accurately, consistently, and within established timelines.

The position will also assist with payroll calculations, investigate and resolve discrepancies related to pay, deductions, taxation, and benefit premiums, and ensure payroll records are maintained accurately.

The Junior Payroll Assistant will also provide administrative support when necessary for finance administration, including preparing documentation for insurance carriers and other agencies, assisting with reconciliations -related activities, and responding to payroll and benefits inquiries as required.

The successful candidate will work closely with internal teams and external providers to ensure payroll, benefits, and employee-related transactions are completed accurately and in accordance with organizational policies and applicable requirements.

Report to: This position reports directly to the Manager, Finance

Responsibilities

Review and approve employee timecards and reconcile them with payroll records.

Resolve missing, duplicate, overlapping, or inaccurate time and attendance entries with managers.

Validate regular, vacation, personal, lieu, leave, statutory holiday, departmental, and unpaid PWE hours.

Maintain employee payroll information, pay rates, earnings, deductions, employment status, and leave balances in ADP and payroll templates

Update part-time employee pay rates following successful completion of probation.





Notify the Benefits Administrator of employee changes affecting coverage.

Prepare, verify, submit, and document monthly employee RRSP contributions.

Prepare and maintain Records of Employment.

Prepare invoices, verify billing details and supporting documents, and maintain invoice records.

Support Finance with audits, budgeting, and special projects.

Meet established deadlines and performance targets.

Prepare and file T4, T4A slips and summaries.

Reconcile payroll accounts for year-end reporting.

Generate year-end payroll reports ducation:

Bachelor’s degree in Accounting, Finance, Business Administration, or a related field is required.

PCP (Payroll Compliance Practitioner) designation, or progress toward obtaining it, is preferred

Advanced knowledge of payroll system and reporting tools.

2 years’ experience as a Accounting firm, bookkeeping firm, payroll experience preferred

Strong knowledge of employment standards and labor laws.

Open for in person work and team setting.

Proven track record managing budgets, audits, payroll, and financial reporting to boards and funders.

Experience supervising administrative functions such as facilities management, IT, or office operations is an asset.

Experience working with external auditors, government agencies, and funding bodies.

Robust knowledge of relevant legislation including tax, charitable status, payroll remittances,



and compliance requirements.

Skills:

Excellent leadership, communication, and interpersonal skills.

Strong analytical and problem-solving abilities.

Proficient with accounting software and Microsoft Office Suite (especially Excel).

Advanced knowledge and hands-on experience with: New Views (preferred), Accounting Software, ADP Workforce Now, etc.

Ability to work collaboratively with senior leadership, board members, and diverse stakeholders.
