About the Role
Reporting directly to the Property Manager, the Leasing and Administrative Assistant supports the day-to-day operation of a commercial portfolio consisting of a retail and office shopping centre in Delta (approximately 50 units) and two vacant land sites in Surrey. The successful candidate will serve as the first point of contact for tenants and will coordinate maintenance and tenant services to a high standard.
Key Responsibilities
Tenant Relations and Leasing
- Serves as the primary on-site liaison for tenants and fosters positive landlord–tenant relationships.
- Shows available units to prospective tenants and prepares online leasing advertisements.
- Assists with prospective tenant screening and covenant review.
- Issues rent invoices, monitors receivables, and follows up on outstanding accounts.
- Assists in resolving tenant concerns and escalates disputes to the Property Manager.
- Conducts move-in, move-out, and periodic unit inspections, and coordinates timely unit turnovers.
- Drafts and posts tenant notices, signage, and updates.
Operations and Facilities
- Coordinates contractors and trades, schedules work, and monitors work quality.
- Conducts regular site inspections and prepares weekly reports for the Property Manager.
- Supports preventative maintenance, fire safety, and grounds maintenance programs.
- Assists in maintaining compliance with applicable health, safety, and regulatory requirements.
- Helps with the coordination of repair and capital projects.
Administration and Finance
- Forwards rent receipts and invoices to head office promptly.
- Reviews building-related invoices and submits them for approval.
- Tracks service contracts and common area expenditures against budget.
- Assists with preparing the annual operating budget.
Other
- Performs other related duties as assigned by the Property Manager.
- Responds to occasional after-hours building and tenant emergencies, compensated according to company policy and the Employment Standards Act.
Qualifications
- Post-secondary degree or diploma preferred, or an equivalent combination of education and experience.
- Minimum one (1) year of experience in property management, tenant relations, or a related field.
- Working knowledge of building systems and maintenance programs.
- Familiarity with basic financial reporting and budgeting.
- Strong organizational, negotiation, and problem-solving skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- Fluency in English; proficiency in Cantonese and/or Mandarin is an asset.
Mandatory Requirements
- Valid BC driver's licence (Class 5) and a reliable vehicle for site visits (mileage reimbursed).
- Legally eligible to work in Canada.
Compensation and Benefits
- Salary: $43,000 - 45,000 per year

Job Details
- Full-time, permanent
- Monday to Friday, with occasional after-hours on-call duties
