The Maintenance Administrative Assistant plays a vital role in maintaining the quality, appearance, and structural integrity of our residential and condominium properties. This position demands exceptional craftsmanship, attention to detail, and professionalism, while consistently delivering superior customer service to residents, colleagues, and property managers.
Essential Job Functions:
Key Responsibilities
- Deliver high-quality workmanship and represent Simco Management with professionalism and integrity at all times.
- Provide professional, courteous, and responsive service to residents, tenants, contractors, and property managers at all times.
- Receive and log maintenance and quote requests through phone, email, and property maintenance software systems. Scheduling quote requests accordingly.
- Document service calls accurately and communicate updates to property management or supervisors as required.
- Manage and track maintenance inventory, including ordering supplies, monitoring stock levels, reconciling invoices, and ensuring materials are available to support daily operations.
- Process employee timesheets for accuracy and completeness, ensuring proper approvals, assist in the job invoicing process by compiling supporting documentation, verifying labor and material cost.
- Maintain organized storage areas and implement inventory control procedures to minimize waste and prevent shortages
- Participate in training and professional development programs as required by Simco Management and the Board of Directors.
Education & Experience
- 2–5 years of administrative experience, preferably in property management,
maintenance coordination, or a related field.
- Proficiency in Microsoft Office (Word, Excel, Outlook), QuickBooks, and mobile communication tools.
Skills & Qualifications
- Strong organizational and time-management skills with the ability to prioritize multiple tasks
- Excellent verbal and written communication skills.
- High attention to detail and accuracy in record-keeping.
- Strong problem-solving skills and ability to manage urgent situations calmly and efficiently.
- Professional demeanor with strong customer service skills.
- Must pass a criminal background check.
- Ability to work both independently and collaboratively in a team-oriented environment.
