The Opportunity:
We are seeking an Office Administrator/Bookkeeper to join our team. This position plays an important role in ensuring the smooth operation of administrative and bookkeeping functions of P5 Millwork and Design. This role is responsible for processing payroll, maintaining accurate financial records, processing accounts payable and receivable, and general office administration.
This position is part-time, Monday to Friday and requires a high level of accuracy, organization, attention to detail, confidentiality, follow-through, and experience with QuickBooks Online.
Key Responsibilities:
Bookkeeping & Financial Administration
· Maintain accurate day-to-day bookkeeping records
· Process accounts payable and accounts receivable
· Prepare and issue customer invoices
· Enter and process supplier invoices and payments
· Reconcile bank, credit card, and other accounts
· Maintain organized financial records and supporting documentation
· Assist with GST/PST and other routine financial reporting
· Prepare statutory declarations and WCB clearance letters as required.
· Monitor outstanding receivables and follow up as required
· Assist management with financial information and reporting
Payroll Administration
· Process payroll accurately and on schedule
· Maintain payroll records and ensure compliance with Federal, Provincial, local labour laws, tax regulations, and company policies.
· Prepare payroll related filings and supporting documentation, such as PD7A, ROE’s, CRA remittances and other payroll reporting.
· Maintain confidentiality of employee and payroll information
Office Administration
· Manage general office correspondence, phone calls, emails, and inquiries
· Reception, including greeting visitors, answer and direct phone calls,
emails and general inquiries to the appropriate person.
· Prepare letters, reports, forms, and other business documents
· Order office supplies and maintain appropriate inventory.
· Coordinate office equipment and service requirements.
· Maintain company records, licenses, subscriptions, and renewals.
· Coordinate incoming and outgoing mail and deliveries
· Support management with administrative tasks and projects
Skills, Education and Experience Requirements:
· 2-5 years of experience in bookkeeping, accounting, and office administration.
· Proficiency with QuickBooks online.
· Bookkeeping or accounting education/certification.
· Payroll processing experience
· Experience with accounts payable and receivable.
· Bank and credit card reconciliation experience.
· Knowledge of GST and basic Canadian payroll requirements
· Strong computer skills, including Microsoft Office, Excel and Outlook.
· Strong data entry and numerical accuracy
· Excellent organizational and administrative skills.
· Strong written and verbal communication skills.
· Experience in millwork, manufacturing or project-based environment is an asset.

Work conditions and physical capabilities
This is primarily an office-based position within a busy millwork/manufacturing environment. The role involves regular interaction with production staff, management, suppliers, clients, and other team members. Occasional movement through the shop may be required.
