Please note that the Work Experience Placement will receive a stipend. This is not a wage or salary. This position is funded by the United Way Work Experience Opportunities Grant and is open to individuals who receive or are eligible for BCEA/PWD (or federal equivalent foron-reserve) and/or face barriers to employment.United Way BC Work Experience Grant is funded by the Government of Canada and the Province of British Columbia.

Work Experience Placement – Admin Hub, Description of Duties
Servesas front-line reception where/whenrequired,providing a welcoming environment for both participants and the public.
Respondstoparticipantinquiriesthroughin person,phoneand emailinteractions; refers relevantenquiriestoapplicableYWCA programs,WorkBCofficesand community resources.
Providesdepartmental administrative support to on-site and off-site programs under the directionand supervision of the Administrative Manager.
Coordinatesroom bookings,meetingsandspecial events(in-person, virtual, hybrid) for the Employment and Community Programs department.
Accurate data entry of trackers,reconciliation,inventoriesand purchase requests, following the guidancethe supervisor andofallorganizational policies.
Set up and troubleshoot technology (virtual conferencing, smartboard, computer systems)
for meetings and events, working collaboratively with YWCA’s IT personnel whenadditionalsupport is required.
Completes participant followupcommunicationto confirm appointments, program acceptance, employment status and collect testimonials.
Workwithteams across the organization ensuring publicprogram informationremainsaccurateand up to date.
Contributes to other related administrative duties andprojects as assigned.
Applies a range of entry to mid-level administrative and technical skills.
Provides customerservices skills with a diverse range of individuals.
Provides clear information and instructions through email, phone, and in-person communication; builds on business communication competencies.
Organizational and time management skills to effectively manage competing priorities, resources, timelines, and due dates.
Proficiencies using computers and variousplatformsincludingMicrosoft Suite (Outlook,SharePoint,MSTeams,Word, Excel,PowerPointand MS Forms),Zoom,Eventbrite, learning managementsystems, and other digital platforms.
Attention to detail andaccuracy.
Adaptable and adaptable,shifting tochanging priorities and responsibilities.
Interpersonalskillsthroughcollaborative working relationships in a team environment, applyingprofessionalcommunications andboundaries;briningasolution’sfocused perspective.
