Our established Sherwood Park business is searching for our next team member. This full-time, permanent position combines responsibilities in office administration and bookkeeping.
The successful candidate will demonstrate a high level of care and attention to detail, along with a robust sense of urgency to ensure tasks are completed accurately and efficiently, in a calm professional manner.
Our ideal Office Assistant and Bookkeeper will have a broad range of administrative and business skills, including experience in accounting, bookkeeping, human resources, sales, marketing, computers, and business software.
Key Responsibilities
The successful candidate will be responsible for:
Managing invoicing, purchase orders, inventory records, accounts payable, and accounts receivable, including collection follow-up.
Performing bookkeeping duties using QuickBooks, preferably QuickBooks Online.
Supporting general accounting and financial recordkeeping.
Organizing administrative documents, financial reports, and other corporate records.
Preparing meeting agendas, minutes, reports, correspondence, and other corporate documents.
Answering incoming telephone calls professionally, determining caller needs, and directing or responding appropriately.
Coordinating company vendors and arranging supplies and services required to maintain a clean and operational office.
Coordinating calendars, conference calls, corporate meetings, and travel arrangements.
Completing corporate banking responsibilities, including deposits. Experience with cross-border banking is an asset.
Supporting sales, marketing, and other administrative activities as required.
Assisting with digital marketing, website updates, social media maintenance, and graphic design activities.
Proofreading and copy-editing technical and business documents.
Maintaining confidentiality of sensitive corporate, financial, personnel, and intellectual property information.
Providing administrative support directly to senior management while also assisting other team members as required.
Occasionally assisting the warehouse team with filling and shipping product orders. This may include lifting items weighing up to 25 kg (55 lb.).
Qualifications and Skills
The ideal candidate will have:
Experience and proficiency in bookkeeping and QuickBooks accounting software; QuickBooks Online experience is preferred.
Accounting knowledge and experience.
Formal bookkeeping training or an administrative diploma is considered an asset.
Proficiency with Office 365 applications, including:
o Excel, Word, PowerPoint, Outlook, OneNote, Collaborative and shared-workspace applications.
Experience with graphic design software used for digital marketing, websites, and social media.
Experience with invoicing, purchase orders, inventory management, accounts payable, accounts receivable, and collections.
Strong organizational and administrative skills.
Excellent verbal and written English communication skills.
Professional telephone skills.
Strong technical English writing, proofreading, and copy-editing abilities.
Excellent listening skills and the ability to understand the needs of others and take appropriate action.
Strong attention to detail with a focus on eliminating errors and omissions.
Excellent time-management skills.
The ability to manage multiple priorities efficiently and adapt to changing daily requirements.
The ability to work independently with minimal supervision.
A willingness and ability to learn new skills and systems quickly.
A professional, courteous, and respectful communication style.
The ability to interact effectively with a variety of personalities, including team members, prospective customers, and clients.

The successful candidate must
Maintain strict confidentiality regarding all sensitive corporate information and records.
Be willing to sign a legal confidentiality agreement.
Be punctual, dependable, and professional.
Provide a Canadian criminal background check and Motor Vehicle Record (MVR), at their own expense, if selected as a potential candidate.
Be willing to participate in drug testing as part of the final onboarding process, if requested.
Be comfortable performing occasional physical work, including assisting with warehouse orders and lifting up to 25 kg (55 lb.).
