Overview
We are seeking a dynamic and highly organized Office Coordinator to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative tasks, supervising office staff, and coordinating essential functions that keep our workplace efficient and welcoming. As an Office Coordinator, you will play a key role in supporting human resources, overseeing vendor relationships, and maintaining accurate financial records to foster a positive and professional office atmosphere.
Duties
- Supervise front desk operations, including greeting visitors and managing multi-line phone systems with professionalism and courtesy
- Oversee clerical tasks such as filing, data entry, and document management to ensure accuracy and accessibility
- Assist with human resources functions including onboarding, training & development, and maintaining employee records
- Manage payroll processing using QuickBooks or similar accounting software to ensure timely and accurate employee compensation
- Coordinate vendor management activities, including scheduling maintenance, ordering supplies, and negotiating service contracts
- Support bookkeeping and budgeting tasks by tracking expenses, preparing reports, and monitoring office budgets
- Facilitate office organization by implementing filing systems,
managing supplies inventory, and maintaining overall cleanliness and orderliness
Skills
- Proven supervising experience with the ability to lead teams effectively and foster a collaborative work workplace
- Strong communication skills for clear interaction with staff, vendors, visitors, and management
- Excellent organizational skills to prioritize tasks efficiently in a fast-paced setting
- Proficiency in QuickBooks for financial record-keeping and payroll management
- Experience with front desk operations, multi-line phone systems, and phone etiquette
- Knowledge of human resources processes including onboarding, training & development programs
- Familiarity with bookkeeping practices, vendor management, filing systems, and basic budgeting techniques
- Demonstrated office experience with clerical duties such as data entry, document preparation, and record keeping
