Position Summary The Part-Time Office Manager / Clerk is the first point of contact for our clients and is responsible for keeping the office organized and running efficiently. The role combines reception and client service, legal administrative support, billing and bookkeeping support, and general office management. The successful candidate will work under the direction of the Operations Manager and must handle confidential information with discretion at all times.

Key Duties and ResponsibilitiesReception and Client Service

- Greet clients and visitors, answer and direct telephone calls, and respond to general inquiries by phone, email and in person in a professional and courteous manner.
- Schedule, confirm and reschedule client appointments, consultations and meetings, and maintain the office calendar.
- Conduct initial client intake by collecting contact information and basic matter details, and run conflict-of-interest checks as directed.
- Refer all questions requiring legal advice to the firm’s legal professionals. The Office Manager / Clerk does not provide legal advice.

Legal Administrative Support
- Open, organize, maintain and close client files (physical and electronic) in accordance with firm procedures and record-retention requirements.
- Prepare, format and proofread correspondence, forms and routine legal documents from templates or instructions.
- Track and diarize limitation periods, court and tribunal dates, filing deadlines and follow-ups, and remind the responsible legal professional of upcoming dates.
- Scan, photocopy and file documents, and manage incoming and outgoing mail and courier deliveries.

Billing and Bookkeeping Support
- Prepare client invoices, record payments received and follow up on outstanding accounts as directed.
- Assist with general and trust account record-keeping under the direction of the Operations Manager and the supervision of the responsible licensee, and maintain supporting documentation for monthly reconciliations.
- Process and track office expenses, receipts and supplier invoices.

Office Management
- Oversee day-to-day office operations, including opening and closing procedures, inventory and ordering of supplies, and liaison with vendors, the landlord and service providers.




- Maintain office equipment and coordinate IT support, software updates and repairs.
- Develop and maintain office procedures, filing systems, templates and checklists.
- Protect the confidentiality and security of client and firm information, including records, passwords and office access.
- Perform other related administrative duties as reasonably assigned, within the scheduled hours of work.

Qualifications and Skills
- Minimum of 1 year of experience in office administration, reception or a similar role. Experience in a law or legal services office is an asset.
- High school diploma or equivalent. A post-secondary certificate or diploma in office administration, legal administration or law clerk studies is an asset.
- Proficiency with Microsoft Office (Word, Outlook and Excel) and comfort learning new software. Experience with legal practice-management or accounting software (such as Danalix or QuickBooks) is an asset.
- Excellent written and verbal communication skills in English. Additional languages are an asset.
- Strong organizational skills, attention to detail and the ability to manage competing deadlines with minimal supervision.
- Demonstrated discretion and professionalism in handling confidential information.

- Hourly pay range is $18 to $20, based on qualifications and experience.
- A part-time schedule of 18 to 24 hours per week.
- A 30-minute eating period so that no more than five consecutive hours are worked without a break.
