What is the Role? The Operations Administrator works alongside our four operating departments. This position is responsible for a wide variety of administrative duties in support of the operational departments. Duties include, but are not limited, to limited reception duties, processing of mail, arranging travel plans, scheduling appointments, overseeing company vehicles, compiling, and drafting both internal and external correspondence.





The position receives general/corporate direction from the Director of Investigations and Licensing, and is expected to work with independence, confidentiality, and a high degree of initiative. The position is expected to determine priorities, resolve issues, and make administrative decisions using discretion and good judgment.

What You'll Do:

The key accountabilities and deliverables of the Operations Administrator include:

- Provides operational initiatives and support for the operations team, including overseeing the preparation of correspondence and reports, setting up meetings, as well as overseeing the taking of minutes of meetings and making travel arrangements.
- Processing of Salesperson and Motor dealer licenses.
- Provides administrative and office support to all members of the Operations management team, as directed.
- Provides administrative and clerical support to functional departments with administrative tasks, such as emailing, mailing, scanning, printing, faxing, and photocopying, ordering office supplies and company documents, as well as responding to inquiries and other correspondence.
- Occasionally greet and assist industry members and public when they visit.
- Schedule maintenance of company vehicles.
- Processing of ICBC imaging and provincial mainframe.
- Create meeting(s) timeline, prepare, and distribute meeting notifications, correspondence, and agenda materials.
- Other duties shall be assigned as required.

Is this a Good Fit for You?

The successful candidate must

- Must pass a criminal record check.
- Willing to sign a confidentiality agreement and adhere to BC privacy legislation.
- Minimum of 5 years of experience providing administrative support to operational managers, including managing electronic calendars, meeting requirements, and travel arrangements.
- Experience preparing a wide range of documentation, for example: formal business correspondence, agendas, minutes, reports,



spreadsheets, and presentation material.
- Experience with computer applications for word-processing, spreadsheets, database, and presentations.
- Governance Professionals of Canada Certification or willing to obtain certification

Your Experience and Educational Background

- Excellent interpersonal and written communication skills and communications experience
- Thorough knowledge of routine office procedure; records management; and senior level administrative support requirements
- Knowledge and understanding of the significance of confidentiality when maintaining public records; preferred knowledge of Freedom of Information and Protection of Privacy legislation
- Knowledge of a variety of computerized applications and their capabilities including email and the Internet
- Excellent knowledge of proper form of business letters and business English

Pay: $55,000.00-$65,000.00 per year
