Position Summary The role plays a central, highly visible role within the organization. This position serves as a key coordination hub between corporate team members and our in-field operating teams at our hotels and other businesses, supporting day-to-day administration while helping ensure smooth communication, organization, and execution across a diverse portfolio of assets and business lines. The role is intentionally broad and dynamic.

The successful candidate will be comfortable shifting between administrative responsibilities, operational coordination, and ad-hoc problem solving, often supporting multiple stakeholders with varying priorities. This role is based full-time at our Bayers Lake office at 168 Hobson Lake Drive, Halifax, Nova Scotia. In line with the rest of the Company, this is an in-office role, five days per week.

This role is based in our Halifax office and is an in-office position, five days per week.

Note that this is a contract position with an anticipated duration of 18 months coverage for maternity leave.

SKILLS, EDUCATION AND EXPERIENCE

- Strong organizational skills with the ability to work on multiple projects simultaneously.
- Excellent verbal and written communication skills.
- Proficiency with common office software and collaboration tools.
- Strong attention to detail.
- Time management and prioritization in fast-paced environments.
- Problem-solving and critical-thinking skills.




- Ability to maintain confidentiality with sensitive information.
- Collaboration, cross-departmental coordination and professional demeanor.
- Experience in real estate, hospitality, finance, or a multi-entity organization is an asset.
- A degree or diploma in business, administration, hotel management or a field of value is an asset, but not necessarily required; relevant experience will be given equal consideration.
- 5 years of administrative, operations, or coordinator experience.
- Prior experience supporting multi-department operations considered an asset.

Responsibilities

Operational Coordination

- Act as a liaison between corporate teams and in-field operators across the hotel and residential portfolios.
- Assist in tracking deliverables, timelines, and follow-ups related to operational, legal, insurance, and compliance matters.
- Support information flow between departments to ensure timely responses and execution.

Office Administration

- Support senior leadership.
- Manage day-to-day office operations, including supplies, facilities coordination, and general administration.
- Assist with onboarding, internal communications, and coordination of corporate policies and procedures.
- Maintain organized records, files, and documentation across departments.

Cross-Functional Support

- Provide administrative and coordination support to teams spanning investments, hotel operations, residential real estate, finance, and asset management.
- Assist with preparation of internal materials, reports, and presentations as required.
- Help coordinate external consultants, service providers, and advisors.

Ad-Hoc & Special Projects

- Take ownership of unusual or one-off tasks as they arise, demonstrating flexibility and sound judgment.




- Support special projects.
- Identify opportunities to improve processes, organization, and internal communication.

General

- Collaborate effectively with cross-functional leaders, teams, and stakeholders to achieve shared objectives, drive alignment, and deliver high-quality outcomes.
