Project Coordinator / Estimator / Inside Sales – HVAC

Full-Time | Monday to Friday
Salary: $65,000–$85,000 per year, based on experience and qualifications
About the Role
Air System Supplies is looking for an organized, motivated, and customer-focused individual to join our team in a Project Coordinator / Inside Sales role.
We are an established HVAC distributor and manufacturer's representative serving the BC mechanical industry since 1980. Our team works closely with mechanical contractors, engineers, suppliers, and manufacturers on commercial, institutional, and residential projects throughout British Columbia.
This is an excellent opportunity for someone with experience in project coordination, construction, estimating, inside sales, procurement, engineering support, or another technical environment who wants to build a long-term career in the HVAC industry.
Previous HVAC experience is an asset, but it is not required. We are prepared to train the right candidate on our products and estimating processes. More importantly, we are looking for someone who communicates well, works effectively at a fast pace, takes ownership of their responsibilities, and can independently manage multiple projects, quotations, and customer requests.
Responsibilities
- Coordinate multiple active projects, quotations, and customer requests from initial inquiry through order and completion
- Review project drawings, specifications, schedules, and other tender information
- Prepare material take-offs and quotations for HVAC equipment and related products
- Communicate directly with contractors, customers, suppliers, and manufacturers regarding pricing, product information, lead times, and project requirements
- Proactively follow up on outstanding pricing, quotations, orders, and project requirements
- Assist customers with product applications, selections, alternatives, and technical information as product knowledge develops
- Prepare and coordinate equipment submittals and project documentation
- Obtain supplier pricing and coordinate purchase orders, materials, and deliveries
- Maintain organized and accurate quotation, project, and customer information
- Identify opportunities to support customers with additional products and solutions
- Assist with project management and problem-solving after project award
- Build strong relationships with customers and suppliers through responsive and professional communication
- Work closely with our sales, estimating, warehouse, and management teams
What We Are Looking For We are open to candidates from a variety of construction, technical, and commercial backgrounds.
Experience in any of the following would be beneficial:
- Construction or project coordination
- Mechanical, HVAC, sheet metal, plumbing, electrical, or other construction trades
- Estimating or material take-offs
- Inside sales or technical sales
- Construction administration
- Procurement or purchasing
- Engineering or engineering technology
- Building products, equipment distribution, or construction supply
Most importantly, we are looking for someone who:
- Is highly organized and comfortable managing multiple priorities at the same time
- Works with a sense of urgency and can maintain consistent output in a busy environment
- Takes ownership of assigned work and follows tasks through to completion
- Can work independently and determine appropriate next steps without requiring constant direction
- Communicates confidently and professionally by phone, email, and in person
- Proactively follows up with customers, suppliers, and coworkers
- Pays close attention to detail while keeping projects moving
- Is comfortable learning technical products and applications
- Can adapt to changing priorities, deadlines, and project requirements
- Enjoys working with customers and developing long-term business relationships
- Is dependable, accountable, and interested in building a long-term career
Qualifications
- 1–3+ years of experience in project coordination, estimating, construction, inside sales, procurement, technical support, or a related environment preferred
- Post-secondary education in construction, engineering technology, mechanical systems, business, project management, or a related field is an asset; equivalent practical experience will also be considered
- Strong computer skills, including Microsoft Outlook, Excel, and Word
- Experience reading construction or mechanical drawings is an asset
- Experience with estimating or take-off software is an asset
- HVAC or mechanical industry experience is considered an asset, but is not required
- Strong written and verbal communication skills
- Robust organizational and time-management skills
