The ATM Project Coordinator supports Project Managers throughout all phases of ATM installation, removal, relocation, refurbishment and other ATM-related projects, including project startup, execution, monitoring, documentation, billing support and closeout. The successful candidate will assist in coordinating project activities, maintaining accurate project documentation, supporting warehouse and crew coordination, and ensuring project requirements are completed accurately, efficiently and on schedule.
Description of Key Responsibilities
Project Start-Up
· Review project requests and ensure all required information is received prior to project creation.
· Create and maintain ATM projects and sub-jobs within SAP and applicable internal systems.
· Enter and maintain required project information including customer, billing contact, site/location, scheduled date and time, scope of work, equipment and serial numbers, and purchase order information.
· Coordinate with Project Managers to obtain missing or unclear project information.
· Ensure equipment requirements and disposition are identified for each project, including storage, temporary storage, disposal or return shipment.
· Coordinate required shipping and warehouse requirements for equipment being installed, removed or relocated.
· Prepare and maintain purchase orders for crews, shipping and other project-related requirements.
· Schedule crews for site activities and maintain accurate, up-to-date scheduling information.
· Create and issue Work Orders (WOs) to internal crews and subcontracted teams, ensuring required project details (scope, location, date/time, special instructions) are included.
· Add projects and activities to the ATM Calendar and ensure scheduling information remains accurate and current.
· Ensure project information and requirements are clearly communicated to crews, warehouses and other applicable stakeholders prior to activity.
Project Execution
· Coordinate and maintain accurate project documentation throughout the project lifecycle.
· Monitor project schedules and update project information when changes are received from the Project Manager or other stakeholders.
· Coordinate with ATM crews, warehouses, customers, vendors and internal departments to support successful project execution.
· Update Work Orders and crew schedules as needed when project scope, timing or crew assignments change.
· Update applicable project, purchase order and calendar information following project activity.
· Review crew completion documentation, checklists and project photographs for accuracy and completeness.
· Validate equipment serial numbers and other project information against available documentation and photographs.
· Follow up with crews, warehouses and offices for missing or incomplete project documentation.
· Track outstanding photos, checklists, serial numbers and other required information and communicate outstanding items to the Project Manager.
· Maintain organized project files and ensure required documentation is stored in the appropriate locations.
· Escalate discrepancies, scope changes, delays or other issues to the Project Manager.
· Support Project Managers with project status updates, reporting and follow-up on outstanding items.
· Assist with customer requests by coordinating the retrieval and delivery of required project documentation and completion photographs.
· Support billing activities by ensuring project documentation is complete and available for invoicing.
· Monitor outstanding project requirements and follow through to resolution.
· Work with Project Managers to determine appropriate next steps when project information is incomplete or requirements remain outstanding.
Project Close-Out
· Ensure required project documentation, photographs and checklists have been received and properly filed.
· Confirm project information is complete and accurately reflected in the applicable systems.
· Follow up on outstanding documentation required to complete billing.
· Assist Project Managers with closing out completed projects and resolving remaining administrative requirements.
· Ensure applicable shipping, warehouse,
equipment disposition and other project requirements have been completed.
· Maintain accurate records and ensure project files are complete and organized.
General Responsibilities
· Maintain effective working relationships with Project Managers, ATM crews, customers, warehouses, vendors and internal teams.
· Communicate professionally and effectively with internal and external stakeholders.
· Follow up proactively on outstanding information and requirements.
· Manage multiple projects and competing priorities in a rapid-paced environment.
· Maintain organization and accuracy in project records, documentation and data entry.
· Identify issues and determine appropriate next steps, escalating to the Project Manager when required.
· Support continuous improvement initiatives and the development and maintenance of project processes.
· Adhere to company policies, procedures and applicable operational requirements.
· Promote a positive and collaborative work environment.
· Maintain confidentiality of customer and company information.
· Support COR safety initiatives as required.
· Other duties as required
Qualifications
· Strong verbal, written and interpersonal communication skills.
· Excellent organizational and time-management abilities.
· Strong attention to detail and accuracy.
· Highly adaptable and comfortable working in a fast-paced, deadline-driven environment.
· Ability to manage multiple projects and priorities simultaneously.
· Strong follow-up and problem-solving skills.
· Ability to work independently while also collaborating effectively with a team.
· Working knowledge of Microsoft Office Suite, particularly Outlook and Excel, with a strong aptitude for learning new technology and software.
· Experience with SAP or other ERP/project management systems is an asset.
· Previous experience in project coordination, construction, logistics, operations or a related field is an asset.
· ATM industry experience is an asset but not required; training will be provided on company-specific processes and systems.
· Must successfully pass Criminal Background Screening as part of employment.
Pay: $43,000.00-$45,000.00 per year
