Property Management & Real Estate Administrator

Tryon Asset Management and Revive Property Solutions are growing, and we are looking for a dependable, organized, and motivated Property Management & Real Estate Administrator to join our team.
This is an in-person position based at our office in London, Ontario. The successful candidate will provide administrative support across our property management, real estate, leasing, maintenance, and renovation operations.
This is a varied, fast-paced role that requires strong organization, consistent follow-up, and the ability to manage changing priorities. The ideal candidate enjoys taking ownership of tasks, communicating with different people, and helping keep day-to-day operations running smoothly.
Key Responsibilities
Property Management and Tenant Administration
- Respond to tenant, property owner, applicant, and contractor inquiries by phone and email
- Maintain accurate tenant, property, lease, and owner records
- Prepare tenant correspondence, notices, letters, forms, and other documentation
- Assist with lease preparation, renewals, rent increases, assignments, move-ins, and move-outs
- Prepare Landlord and Tenant Board notices and forms as directed
- Monitor rent accounts and follow up on outstanding balances and arrears
- Track tenant insurance, utility confirmations, deposits, keys, and other lease requirements
- Maintain organized electronic and physical filing systems
- Assist with property reports, owner updates, and general administrative tasks
Leasing and Real Estate Support
- Respond to rental and real estate inquiries
- Assist with rental applications, applicant documentation, and screening
- Coordinate showings, appointments, photography, signage, lockboxes, and property access
- Prepare and update rental advertisements and property listings
- Assist with listing documents, feature sheets, flyers, and marketing materials
- Maintain and update client, applicant, lead, and property information in company systems
- Track prospective tenants and clients to ensure timely follow-up
- Assist with email campaigns, client communications, and database organization
- Support real estate transactions and listing preparation as required
Maintenance and Contractor Coordination
- Receive, document,
and coordinate maintenance requests and service calls
- Schedule access for technicians, contractors, cleaners, inspectors, and other service providers
- Communicate appointment details and notices of entry to tenants
- Obtain quotes and follow up with contractors regarding scheduling and work completion
- Track work orders, repairs, inspections, invoices, and outstanding maintenance items
- Assist with unit turnovers by coordinating cleaning, repairs, keys, inspections, and readiness for occupancy
- Review work documentation and photos to confirm that assigned tasks have been completed
- Maintain vendor and contractor records
Bookkeeping and Office Administration
- Enter invoices and maintain accurate payment and expense records
- Prepare invoices, cheques, deposits, and supporting documentation
- Assist with management fee calculations and owner statements
- Organize records for monthly and year-end accounting
- Complete data entry and maintain spreadsheets, trackers, and internal reports
- Assist with general office organization, scheduling, and calendar management
- Support the development and improvement of internal systems and procedures
- Complete other administrative duties as required
Marketing and Social Media
- Create property advertisements, flyers, feature sheets, and social media graphics
- Assist with Instagram, Facebook, reels, and other marketing content
- Schedule and organize social media posts
- Assist with basic photo and video editing
- Help coordinate client gifts, events, and other marketing initiatives
Qualifications and Skills
- Previous administrative, office, property management, real estate, or coordination experience
- Strong organizational and time-management skills
- Excellent attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines
- Consistent follow-through and the ability to see tasks through to completion
- Comfortable communicating professionally with tenants, property owners, applicants, contractors, vendors, and clients
- Ability to work independently while contributing effectively to a team
- Robust problem-solving skills and willingness to take initiative
- Comfortable working in a fast-paced environment where priorities may change
- Proficient with email, Microsoft Word, Excel, and Google Workspace
- Comfortable learning new software and systems
- Professional, dependable, accountable, and service-oriented
Experience Considered an Asset Experience with any of the following would be an advantage:
- Residential or commercial property management
- Real estate administration
- Leasing and rental applications
- Property management software
- QuickBooks or bookkeeping software
- Microsoft Excel and Google Sheets
- Canva
- CRM and database software
- Instagram and Facebook
- Social media content creation
- Basic photo or video editing
- Email marketing platforms
- Landlord and Tenant Board forms and processes
Previous property management or real estate experience is considered an asset, but we are willing to train the right candidate who demonstrates strong administrative skills, professionalism, initiative, and a genuine interest in the industry.
What We Offer
- Pay of $18.00 to $23.00 per hour, based on experience
- In-person position at our London, Ontario office
