This is a hands-on sales and client services role. You will sell baby and toddler swimming classes, manage bookings and schedules, support families directly, and work closely with instructors.
There is little to no team management. You will do most of the work yourself and be measured mainly on class sales, fill rates, and the family experience.
What you will do
Sales and enrollment (primary focus)
- Convert phone, email, walk-in, and social inquiries into booked classes
- Explain programs, class options, pricing, and schedules clearly so families can enroll with confidence
- Fill upcoming classes and keep sessions at target capacity
- Follow up on leads
- Support re-enrollment and ongoing program
- Sell related products where appropriate
- Meet weekly and monthly sales and enrollment targets
Bookings and class scheduling
- Manage bookings, transfers, make-ups, cancellations, and waitlists
- Keep class lists accurate and classes appropriately filled
- Coordinate schedule changes with families and instructors
- Maintain a smooth path from first inquiry through ongoing enrollment
- Schedule social media post, create post in timely manner
- Support local marketing, partnerships
- Handle daily customer questions , by phone, email and through digital channels
- Resolve concerns calmly, quickly, and professionally
- Make sure families receive timely, accurate, and friendly support
- Monitor satisfaction and follow up when something goes wrong
Working with instructors and operations
- Communicate clearly with instructors about class lists, new enrollments, absences, cover needs, and special requests
- Share family information that helps instructors deliver a good class experience
- Gather instructor feedback on capacity, class mix, and parent concerns
- Work with operations to keep classes running smoothly across locations
Numbers, systems, and consistency
- Track and follow KPIs such as:
- inquiry-to-booking conversion
- class fill rate
- re-enrollment / retention
- complaint resolution time
- Use office software daily
- Keep processes organized so service and sales stay consistent
- Support social posts or replies when needed, and turn social inquiries into bookings
What success looks like
- Classes are sold and well filled
- Inquiries are followed up quickly and converted
- Families feel looked after from first contact onward
- Instructors get clear, timely information
- Schedules stay organized
- Issues are handled without being dropped
Who you are
- Comfortable selling, following up, and asking for the enrollment
- Explicit, warm, and professional with parents and caregivers
- Organized enough to run bookings and schedules without much backup
- Calm with difficult conversations
- Able to work closely with instructors and keep them in the loop
- Motivated by targets, not only by answering tickets
Qualifications
Required
- Experience in sales, enrollment, or customer-facing roles where converting inquiries mattered
- Strong verbal and written communication
- Proven follow-up habits and comfort working to targets
- Strong organization and problem-solving skills
- Experience with CRM tools, scheduling systems, and basic office software
- Ability to manage bookings and customer issues independently
Preferred
- Experience in hospitality, recreation, education, children’s activities, or family-focused services
- Aquatics or child-centered program experience
- Experience coordinating with instructors, teachers, or other delivery staff
- Social media communication experience
- Post-secondary education in business, communications, hospitality, or equivalent experience
Pay: $51,000.00-$55,000.00 per year
