Position Summary The Sales Coordinator supports the Sales & Marketing team in driving hotel revenue, maintaining strong client relationships, and ensuring the smooth coordination of group, corporate, and leisure business. This position provides administrative and operational support to the sales team while assisting with client communication, group bookings, sales activities, and the delivery of exceptional guest service.
The ideal candidate is organized, detail-oriented, professional, and capable of managing multiple priorities in a fast-paced hotel workplace.
Key Responsibilities
Sales & Administrative Support
- Assist the Director of Sales and Sales Managers with daily sales activities and administrative tasks.
- Prepare proposals, contracts, group rooming lists, and other sales-related documents.
- Maintain accurate client records, sales files, and account information.
- Update sales reports, tracking spreadsheets, and hotel sales systems.
- Assist with preparing weekly and monthly sales reports and presentations.
- Coordinate sales appointments, client meetings, and hotel tours.
Group & Corporate Sales Coordination
- Assist with group reservations, room blocks, and group booking details.
- Communicate with clients regarding arrival dates, rooming lists, billing instructions, and special requests.
- Ensure group information is accurately communicated to the Front Desk, Housekeeping, Food & Beverage, and other relevant departments.
- Follow up on group inquiries, proposals, and pending business opportunities.
- Support the coordination of corporate accounts, negotiated rates, and local business partnerships.
Customer Service & Client Relations
- Respond promptly and professionally to client inquiries by telephone and email.
- Build positive relationships with existing and prospective clients.
- Assist with resolving client concerns and ensure appropriate follow-up.
- Welcome clients and assist with hotel tours, site inspections, and sales appointments.
- Promote the hotel's accommodations, amenities, meeting facilities, and services.
Marketing & Business Development Support
- Assist with sales calls, client visits, networking events, and community outreach.
- Support the Director of Sales with promotional campaigns and sales initiatives.
- Help identify potential corporate, group, sports, government, and leisure accounts.
- Maintain up-to-date information on local businesses, events, and market opportunities.
- Assist with preparing marketing materials, presentations, and promotional communications.
Hotel Operations & Teamwork
- Work closely with hotel departments to ensure all group and corporate requirements are met.
- Attend sales meetings, operational meetings, and training sessions as required.
- Maintain confidentiality of guest, client, and hotel information.
- Follow Hampton Inn brand standards, hotel policies, and applicable health and safety regulations.
- Perform other duties as assigned by the Director of Sales or General Manager.
Qualifications & Skills
- Previous experience in hotel sales, hospitality,
customer service, or administration is preferred.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Professional telephone and email etiquette.
- Proficiency in Microsoft Office, including Word, Excel, and Outlook.
- Experience with hotel property management or sales systems is an asset.
- Ability to work independently and as part of a team.
- Strong attention to detail and ability to meet deadlines.
- Ability to handle multiple priorities in a fast-paced environment.
- A positive, professional, and customer-focused attitude.
Education & Experience
- High school diploma or equivalent required.
- Post-secondary education in Hospitality Management, Business Administration, Sales, or a related field is an asset.
- Previous experience in a hotel sales or administrative role is preferred.
Working Conditions
- Primarily office-based within the hotel, with regular interaction with guests, clients, and hotel departments.
- Occasional evening or weekend attendance may be required for sales events, client functions, or hotel activities.
- Must be able to work flexible hours based on business needs.
Performance Expectations
- Provide timely and accurate administrative support to the Sales & Marketing team.
- Maintain excellent client communication and follow-up.
- Ensure group and corporate booking details are accurate and complete.
- Support the achievement of hotel sales and revenue goals.
- Contribute to a positive, professional, and collaborative hotel environment.
Pay: $50,000.00-$55,000.00 per year
