ABOUT THE COMPANY

We are a diversified, owner-operated group of businesses based on Vancouver Island, BC. Our operating companies span construction and land development, equipment and asset management, mobile hauling, and specialty contracting services. Our entities each operate independently with their own books, accounts, and obligations — yet there is significant cross-referencing and intercompany activity across the group. The Senior Financial Administrator will be responsible for maintaining that separation with precision while managing the full picture across all entities.

THE OPPORTUNITY

We are seeking a capable and detail-oriented Senior Financial Administrator to take ownership of the full financial and administrative function across our group of companies. This is a broad, hands-on role suited to someone who thrives in a multi-entity environment, can manage competing priorities independently, and brings solid accounting knowledge alongside practical HR and compliance experience.

The ideal candidate is a self-starter who is comfortable working directly with ownership, managing deadlines without heavy oversight, and maintaining a high standard of accuracy across all financial records. Exceptional attention to detail is non-negotiable in this role — our entities operate independently, and the volume of cross-referencing between them means errors compound quickly. KEY RESPONSIBILITIES

Accounting & Bookkeeping

- Full-cycle bookkeeping across all group entities
- Month-end and year-end reconciliations
- Year-end preparation and liaison with the external accounting firm — preparing working papers, adjusting entries, and supporting the year-end filing process
- Intercompany invoicing and elimination entries
- Leading the accounts receivable function — generating and sending client statements, managing collections, and following up on outstanding balances
- Leading the accounts payable function — managing vendor payments, scheduling disbursements, and maintaining accurate aging records
- Maintaining accurate financial records in QuickBooks Online (QBO) across multiple company files
- Working across different software systems used by the various entities — including project management platforms — and adapting quickly as tools evolve
- Bank reconciliations and credit card reconciliations
- Monthly cost capitalization journal entries — reviewing and reclassifying direct wages and expenses to fixed asset additions or repairs & maintenance based on the nature of work performed; distinguishing between capital improvements (capitalized to the balance sheet) and maintenance costs (expensed)

Payroll Oversight & Government Remittances





- Overseeing multi-entity payroll across the group — administrative staff handle day-to-day data entry, but the Senior Financial Administrator is responsible for review, accuracy, and sign-off
- Ensuring correct cost coding on payroll — allocating labour costs to the appropriate job, project, or cost centre across entities
- Statutory holiday pay review and calculations
- Source deduction remittances to CRA
- Preparation and filing of Records of Employment (ROEs)
- T4 preparation and annual CRA filings

Tax & Regulatory Remittances

- GST and PST return preparation and filing across multiple entities
- Managing the complexity of GST Input Tax Credit (ITC) apportionment — where the group provides both taxable and GST-exempt goods and services, accurately calculating the proportion of ITCs claimable and ensuring correct treatment in mixed-supply filing environments
- Employer Health Tax (EHT) installment calculations and remittances
- Ensuring correct tax code treatment across a variety of transaction types, including construction, equipment, and real estate
- Understanding of (or willingness to develop expertise in) GST/PST treatment for new home builds, modular/manufactured homes, and residential development
- Knowledge of (or willingness to learn) the BC manufactured home registration process

Human Resources & Onboarding

- Preparing and maintaining onboarding packages for new hires across all group companies
- Group benefits plan administration, including enrolment, changes, and terminations
- Maintaining employee records and HR documentation
- Supporting employment-related compliance (WorkSafeBC, Employment Standards Act)

Health & Safety

- Health and safety reporting across the group
- Supporting implementation of health and safety policies and procedures
- WCB (WorkSafeBC) quarterly and annual filing and reporting
- WorkSafeBC compliance coordination across all entities

Corporate Insurance Management

- Managing the group's annual insurance program — coordinating renewals, liaising with brokers, and ensuring appropriate coverage across all entities
- Consolidating entity-level data (revenue, headcount, assets) for insurance review and renewal submissions
- Maintaining insurance records and supporting shareholder and key person insurance requirements

Subcontractor Compliance

- Obtaining and tracking WCB clearance certificates for all subcontractors prior to engagement
- Reviewing subcontractor insurance documentation and ensuring certificates of insurance meet group requirements
- Maintaining a current register of subcontractor compliance documentation (WCB clearances, insurance, etc.)
- Following up with subcontractors on expired or missing documentation

Financial Reporting

- Preparing and presenting regular financial reports to the management and ownership group
- Producing accurate and timely financial statements across all entities
- Summarizing financial performance, flagging variances, and supporting ownership in decision-making
- Maintaining and updating the company Scorecard — ensuring KPIs and financial metrics are accurate and ready for the weekly Level 10 (L10) meeting cadence
- Supporting the EOS operating rhythm — contributing to Rocks tracking, the Accountability Chart, and quarterly and annual planning sessions
- Supporting capital and equipment financing decisions — preparing analysis and comparisons (e.g. lease vs. buy, dealer financing vs. line of credit) to inform ownership decisions
- Leading the annual budgeting process and working collaboratively with other department and corporate leads — including marketing and operations — to build, manage, and track budgets across the group

Process Development & Administration

- Working collaboratively with the admin team to create, document,



and maintain standard operating procedures for all financial, HR, compliance, and regulatory functions
- Continuously improving internal processes to support the group's growth and operational consistency across entities

QUALIFICATIONS

Required

- Diploma or degree in accounting, business administration, or a related field — or equivalent work experience; partial completion of a relevant program combined with strong practical experience is welcome
- Minimum 3–5 years of full-cycle accounting experience; exposure to a multi-entity setting is an asset — candidates should be comfortable keeping independent sets of books while managing cross-entity activity
- Solid knowledge of Canadian payroll legislation (BC), source deductions, and CRA remittance requirements — including the ability to oversee payroll staff and review for accuracy and compliance
- Understanding of payroll cost coding — allocating labour to jobs, projects, and cost centres
- Experience with GST and PST filing in BC, including an understanding of Input Tax Credit (ITC) apportionment in environments where both taxable and exempt supplies are made
- Proficiency in QuickBooks Online (QBO) — experience managing multiple QBO company files is a strong asset
- Comfortable working across multiple software platforms simultaneously; able to pivot between systems — including project management tools — as required by each entity
- Exceptional attention to detail — this is a high-cross-referencing environment with multiple independent entities; accuracy and consistency are critical
- Experience with cost capitalization journal entries — reclassifying direct wages and expenses to fixed assets or repairs & maintenance, with sound judgment on capital vs. expense treatment
- Demonstrated experience with HR administrative functions, including onboarding and benefits administration
- Ability to work independently, manage multiple deadlines, and communicate clearly with ownership

Preferred / Assets

- Experience in construction, real estate development, or related industries
- Familiarity with intercompany transactions and multi-entity consolidation
- Understanding of tax treatment for new home builds and modular/manufactured home transactions
- Familiarity with the BC manufactured home registration process, or willingness to develop this knowledge
- Basic understanding of private lending or mortgage transactions — including interest calculations, loan tracking, and related accounting treatment
- WorkSafeBC reporting, WCB filings, and health & safety program experience
- Experience managing subcontractor compliance documentation (WCB clearances, insurance certificates)
- Employer Health Tax (EHT) remittance experience
- Experience working in an EOS (Entrepreneurial Operating System) environment is a strong asset — familiarity with Scorecards, Rocks, L10 meetings, and the Accountability Chart
- Familiarity with RBC Express and EFT/ACH payment processing
