JOB SUMMARY

We are looking for a knowledgeable and customer-focused Service Advisor to join our team. The ideal candidate will act as a liaison between customers and the technicians, ensuring that all customer needs are met effectively and efficiently. The Service Advisor will be responsible for providing exceptional customer service, managing service appointments, and effectively communicating repair and service recommendations to customers.

KEY RESPONSIBILITIES

Customer Service & Communication

- Greet customers in a skilled and friendly manner to assess service needs and concerns.
- Build and maintain strong customer relationships through exceptional service.
- Communicate repair recommendations, maintenance requirements, timelines, and costs clearly and accurately.
- Keep customers informed throughout the repair process.
- Organize customer transportation, including vehicle pick-up and drop-off arrangements when required.
- Resolve customer concerns and complaints promptly and professionally.
- Support customer retention and contribute to overall shop performance.

Service Coordination:

- Schedule service appointments and manage workflow to ensure efficient shop operations.
- Prioritize work orders to meet deadlines and customer expectations.
- Coordinate communication for automotive, commercial vehicle, and roadside service work.




- Collaborate with technicians and parts personnel to ensure required parts and resources are available for repairs.
- Prepare accurate repair estimates and service quotes.

Documentation & Administration:

- Accurately record customer information, service requests, and repair recommendations in the service management system.
- Prepare, review, and explain invoices, work orders, estimates, and completed repair documentation.
- Ensure all documentation complies with company procedures and regulatory requirements.
- Process warranty claims for parts and labour through approved vendor portals.
- Receive inventory, parts, and office supplies; verify quantities and pricing against invoices.
- Maintain accurate inventory levels by conducting regular counts and coordinating returns or vendor credits as required.

Sales & Customer Support:

- Promote maintenance programs, warranties, service specials, and additional services when appropriate.
- Recommend repairs and preventative maintenance based on customer needs, manufacturer recommendations, and safety requirements.
- Support achievement of department performance goals through quality customer service and effective service recommendations.

Safety & Professional Development

- Participate in and document monthly toolbox talks and safety meetings.
- Attend Occupational Health & Safety meetings and complete assigned training courses.
- Maintain current knowledge of automotive technology, products, industry trends, and company procedures.

QUALIFICATIONS

- High school diploma or equivalent; additional education in automotive technology or customer service is a plus.
- [2] years of experience in a customer service role, preferably in the automotive industry.
- Strong communication and interpersonal skills, with the ability to build rapport with customers.
- Excellent organizational skills and attention to detail.
- Proficiency in service management software, including Protractor; ability to learn new systems quickly.
- Ability to work in a fast-paced environment and manage multiple tasks simultaneously.
- A valid driver’s license and a clean driving record.
