About College & Ossington Dental Office
College & Ossington Dental Office has cared for patients in our Toronto community for more than 20 years. We’re a welcoming, multilingual practice where patients come to us for everyday dental care as well as more involved treatment, including dentures, oral surgery, implants, cosmetic dentistry, and orthodontic care.
We believe a good patient experience starts with the first call and continues long after an appointment ends. As our practice grows, we’re looking for someone who can build strong relationships with patients, support our clinical team, and help us make every step of care easier to navigate.
About the role
We’re hiring an experienced Treatment Coordinator & Front Office Lead for a hands-on position that is approximately 40% front desk, 40% treatment coordination, and 20% practice management. The balance will vary with the needs of the day.
You’ll help patients from their first enquiry through booking, treatment planning, financial discussions, and follow-up. You’ll also help strengthen the systems behind that experience. We’re looking for someone with demonstrated success who can contribute to the growth of a practice, including by creating better processes and following through on opportunities.
What you’ll do
Front desk and patient experience — approximately 40%
- Welcome patients, answer calls and messages, respond to new patient enquiries, and manage appointment booking, confirmations, and changes.
- Handle check-in, check-out, payments, patient accounts, and everyday administrative questions.
- Prepare and submit insurance predeterminations and claims,
and follow up on outstanding claims and payments.
- Manage patient balances and collections with professionalism, accuracy, and respect.
- Keep the schedule, patient communications, and open tasks organized across shifts.
Treatment coordination — approximately 40%
- Coordinate significant or multi-stage treatment involving multiple appointments or providers.
- Help patients understand the sequence, timing, estimates, insurance information, and financial arrangements for treatment recommended by their dentist.
- Discuss costs and payment options clearly and compassionately, without pressuring patients.
- Follow up with patients who have questions or have not yet scheduled recommended treatment.
- Keep patients, providers, and the front desk aligned on next steps from treatment presentation through scheduling and completion.
Practice management — approximately 20%
- Improve processes for new enquiries, treatment follow-up, recalls, insurance administration, and scheduling.
- Support front desk colleagues and help make sure patient requests and open tasks are handled promptly.
- Help resolve patient service issues and identify recurring problems that need attention.
- Review agreed performance measures and suggest practical ways to improve the patient experience and grow the practice.
Who you are You’re warm and approachable, and you enjoy getting to know patients. You listen well,
explain complex information in plain language, and can discuss treatment and finances with sensitivity. You stay organized when the front desk gets busy, take initiative, and follow through without needing to be reminded.
You’re comfortable with technology, willing to learn recent systems, and enjoy working with a collaborative team. Most of all, you care about helping patients feel confident in their decisions and helping the practice succeed.
What you bring
- Proven experience in dental treatment coordination and dental front desk administration.
- Examples of results you’ve achieved in treatment scheduling, patient follow-up, service improvement, or practice growth.
- Experience with insurance predeterminations, claims, patient accounts, and collections.
- Strong communication, organization, problem-solving, and relationship-building skills.
- The ability to communicate with patients in Spanish or Portuguese, as well as English.
- Experience with dentures, oral surgery, dental implants, cosmetic dentistry, or Invisalign is an asset.
- Experience with Abeldent, RecallMax / MaxAssist is an asset.
