Warranty Administrator / Shop Dispatcher

Kanata Mazda is looking for an organized, motivated, and automotive-minded Warranty Administrator / Shop Dispatcher to join our Service Department.

This is a key role in our dealership. You'll help coordinate the daily workflow of the shop, support our technicians and Service Advisors, manage warranty claims, and help ensure our customers receive an exceptional service experience.

What You'll Do

- Manage and submit manufacturer warranty claims accurately and on time.
- Dispatch and coordinate repair work with technicians.
- Help manage the daily workflow and priorities of the Service Department.
- Communicate with technicians and Service Advisors to keep repairs moving.
- Review and maintain accurate repair orders, warranty documentation, labour, and parts information.
- Follow up on outstanding or rejected warranty claims.
- Assist with service scheduling and shop capacity.
- Communicate professionally with customers regarding repairs, warranties, and service needs.
- Identify additional service opportunities and communicate them to the Service Advisors.
- Assist with invoicing, payments, and other service administration as required.
- Work closely with Parts, Service, Technicians, Advisors, and Management to keep the department running efficiently.

What We're Looking For
- Previous automotive dealership experience is highly preferred.
- Warranty administration, service dispatch, service advising, or automotive administration experience is an asset.




- Automotive/mechanical knowledge is a strong advantage.
- Excellent organizational and time-management skills.
- Strong attention to detail.
- Excellent communication and customer service skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Comfortable working with computers and dealership software.
- Reliable, professional, and team-oriented.
- Experience with cash handling or service invoicing is an asset.
