Reportingto the Special Education Lead and the Superintendent of Education, the SpecialEducation Secretary is responsible for the daily operations of the SpecialEducation department by performing a variety of administrative and secretarialduties. The position provides support to the Special Education team, schools,students, and parents/guardians while ensuring accuracy, confidentiality, andintegrity of information. The successful candidate will contribute to theefficient and effective operations of the Special Education office and deliveryof Special Education services across the Board.
Qualifications
Post-secondarydiploma in Office Administration or a related field.
Proficiencyin Microsoft Office Suite (Word, Excel, Outlook, Teams) and Google Workspaceapplications (Docs, Sheets, Forms, Calendar)
Experience with Aspen (SpecialEducation) considered an asset

KeyResponsibilities
Dutiesmay include, but are not limited to:
Answer and direct telephoneinquiries; receive and distribute mail and deliveries; prepare correspondence,reports, filing, photocopying, and other general administrative documentation.
Process Special Equipment Amount(SEA) claims in accordance with recommendations provided by qualifiedprofessionals, including psychologists, therapists, and other specialists.
Source products and equipmentthrough supplier research, quotation requests,
price comparisons, andcost-effective purchasing practices. Prepare purchase orders and invoices,coordinate application purchases, and follow up with suppliers regarding outstandingdocumentation.
Coordinate the ordering, receipt,and distribution of SEA equipment and other Special Education resources,including iPads, laptops, peripherals, sound field systems, customizedequipment, learning resources, and office supplies.
Liaise with the Finance Department regarding deliveries, packing slips, invoices, and otherdocumentation
Maintain accurate and current SEAinventory records and prepare inventory reports and documentation for schoolrecords and Ontario Student Records (OSRs)
Manage records of surplus equipment,facilitate reallocation processes, and liaise with suppliers to ensureequipment remains suitable for reassignment
Arrange and coordinate the transferof equipment between schools and school boards as required.
Collaborate with Information Services (IS) to procureall SEA PPA recommended applications and issue work orders for softwareinstallations.
Prepare Ministry SEA PPE claim-based reports
Provide administrative support tothe Special Education team, including coordinating travel arrangements,accommodations, and transportation when required.
Demonstrates commitment to DSB1 strategic planpriorities and actions
Maintain regular and punctualattendance in accordance with Board expectations.
Perform other related duties asassigned by the Special Education Administrator and/or Superintendent ofEducation.
DSB1 may use Artificial Intelligence (AI) tools to assist inscreening and assessing applicants, as defined under the Employment StandardsAct (ESA). AI is not used to make final hiring decisions. In DSB1,final hiring decisions are made by DSB1 staff.
