The Fort McMurray Catholic Schools requires a full-time Administrative Assistant, Community Schools Facilitator at the Suncor Energy Center for the Performing Arts. Reporting to the Manager of the Suncor Energy Centre for the Performing Arts, the Community Schools Facilitator is responsible to coordinate, schedule, control and implement special events, functions and activities for both internal Holy Trinity clientele and external Wood Buffalo clientele. The Community Schools Facilitator will provide a welcoming environment to all participants and users. The position will also provide general administrative support to SECPA.

Job Qualifications

College Diploma in Recreation and Sport Management or Business Administration or equivalent

Other equivalent combinations of directly related post-secondary education or directly related experience may be considered

Minimum of three (3) year of experience during the last 5 years, in a reception/office environment or customer service organization

Minimum of two (2) years of recent experience in event planning/event management of large scale events for clients

Minimum of two (2) years of recent experience supervising workers

Proficiency use of computer applications such as G-Suite (Docs, Sheets, Forms, Slides) email, Google calendar and other information management tools

Fluent in oral and written English

Able to work independently in a fast paced, constant changing workplace with multiple priorities

Work Schedule

The SECPA operates 12 months per year

Work schedule varies often to meet operational needs of the SECPA and the community use of the facilities

This position may include evenings and weekends as required,



based on the bookings received

Hours and days of work will be posted as per Collective Agreement

Duties

Coordinate and schedule the use of the facilities by various community groups including sports teams, religious organizations, social profit organizations and private community functions

Ensure access to the facility is provided on a fair and equitable manner in accordance with Division policies

Work closely with school administration and staff to ensure school requirements are considered and prioritized when booking in a community group

Support community groups with administrative details including any applicable policies and procedures and applying for required permits and licenses

Provide a facility rental agreement to the client and ensure all rental conditions are met

Prepare invoices, receipt payments, perform financial transactions related to registrations and ticketing and assist in the maintenance of financial records

Utilize scheduling software and schedule Community Hosts to provide on-site support to groups and control access to the facilities after school hours

Direct Community Hosts by assigning tasks, informing them of groups requirements and supporting them with any issues or concerns

Schedule labourers and oversee the set-up of the various spaces, including the theatre, gymnasiums, classrooms and studios, for special events and community functions

Contribute to keeping the SECPA website (secpa.ca) updated with relevant information and administer any registration requirements, including ticketing, for special events and community functions

Provide general administrative support to the SECPA

Perform other related duties as assigned by the Manager of the SECPA

The successful candidate will be required to provide a Criminal Reference Check and a Vulnerable Sector Check. FMCSD will contact past and present employers for references. All FMCSD employees are expected to be computer literate; this includes fluency with e-mail, Internet and MS Office.
