For more information, please see www.dt-global.com The Role The Country Administration Officer is responsible for providing a comprehensive range of administrative, customer service and operational support to Pacific Australia Skills staff, learners, visitors, vendors and other stakeholders. The role supports the effective day-to-day operation of the Pacific Australia Skills Samoa Campus, including front office and reception services, learner and staff administration, sourcing and procurement, records management, and workplace health and safety initiatives. As the first point of contact for the Pacific Australia Skills Samoa Campus, the Officer is expected to represent Pacific Australia Skills in a professional, welcoming and service-oriented manner.
Roles and Responsibilities
Front Office and Customer Service
- Maintain an effective, efficient and professional reception and front office as the first point of contact
- Meet, greet and assist staff, learners, prospective learners, vendors, visitors and other stakeholders in a professional, friendly and timely manner both in person, by telephone and through email.
- Answer incoming calls through Microsoft Teams and the office landline, take accurate messages and ensure these are communicated to the appropriate staff.
Learners Administration
- Provide administrative support for applications, enrolment and other learner administration activities.
- Assist with uploading learner applications to the designated network drive and maintaining accurate electronic and hard-copy records.
- Provide timely administrative support to learners and prospective learners and refer enquiries to the appropriate team where necessary.
Procurement, Stock and Logistics
- Support the sourcing and procurement of goods and services in accordance with policies,
procedures and procurement requirements.
- Assist with procurement processes to ensure goods and services provide value for money.
- Assist with travel bookings, logistics and other operational arrangements as required.
Training and Event Support
- Assist with meeting room management, including bookings, room set-up, refreshments and catering.
- Support the organisation and coordination of workshops, graduations, expos, roadshows, meetings and other events and functions.
- Assist with approved transport and logistical arrangements for staff and learners when required.

Records and Information Management
- Maintain accurate, organised and confidential administrative and operational records in accordance with policies and procedures.
- Ensure records are appropriately filed, collated, labelled, stored and archived.
- Maintain both electronic and hard-copy filing systems and ensure documents can be readily retrieved when required.
Facilities, Assets and Workplace Health and Safety
- Support the effective day-to-day management of office facilities, equipment and resources.
- Report maintenance, safety and security issues to the appropriate staff and follow up as required.
- Assist with regular stocktakes of training resources, office equipment and other PAS assets.
- Support the maintenance of a clean, safe and organised workplace.
General Administration and Office Support
- Provide confidential secretarial and administrative support to management and staff as required.
- Perform general administrative duties using relevant office equipment and software.
- Provide accurate and efficient data entry, word processing, spreadsheet and document management services.
About You
Essential Experience and Knowledge
- Diploma-level qualification in business administration, office administration, customer service or a related field, or a post-secondary/TVET qualification with demonstrated relevant work experience, preferably in student administration, general administration or customer service.
- Demonstrated experience providing high-quality administrative and customer service support in a busy environment, with excellent written, verbal, telephone and interpersonal communication skills and the ability to respond professionally to a diverse range of enquiries.
- Demonstrated experience in procurement, asset and stock management, records management and general office or operational support, with the ability to maintain accurate records and follow established processes.
- Demonstrated ability to manage competing priorities, exercise sound judgement, work accurately and methodically, meet deadlines and maintain high service standards. Proficiency in Microsoft Office applications, including Word, Excel, Outlook, PowerPoint and Teams.
- Demonstrated ability to work collaboratively as part of a small and dedicated team, while also working independently, taking initiative and maintaining confidentiality and professionalism.
- Understanding of and commitment to Gender Equality, Disability and Social Inclusion (GEDSI), Child Protection, Prevention of Sexual Exploitation, Abuse and Harassment (PSEAH), prevention of human trafficking, environmental protection, anti-corruption and other DFAT safeguarding policies.
