About the Role BCCOHP is seeking a permanent, full-time Administrative Assistant, Facilities Accreditation to join our Licensing & Facilities Accreditation team. This position will report to the Manager, Facilities Accreditation.
The successful candidate will be responsible for providing administrative support to the Facilities Accreditation team with receiving and processing requests from facilities looking to provide sedation and/or general anesthesia services and assists with the accreditation process for facilities where sedation and general anesthesia services are required.
Essential Duties
Facilities Accreditation
- Assist with facility accreditation processes (assessments and inspections), and Registration of Qualifications for sedation, including assisting Coordinators with follow-ups.
- Assist with inquiries regarding sedation from sedation facilities and licensees.
- Assist with assessment and application payments.
- Prepare and distribute facility inspector packages for on-site and virtual inspections, in a timely manner.
- Organize and file sedation facility assessments/inspections and Registration of Qualifications.
- Conduct data-entry and update records for sedation facilities and providers, including diarizing activities.
- Maintain sedation database and records.
- Assist with data-collection.
- Receive and collate documents sent by mail or by other means.
- Prepare and send reminder and compliance letters and facility accreditation certificates
- Assist with accreditation projects.
- Prepare packages and organize materials for the Accreditation Committee.
- Monitor the department’s shared inbox, phone calls, and voicemails on a rotating basis; respond to routine inquiries and direct matters requiring review to the appropriate team member.
- Track outstanding submissions and follow up as needed to ensure timely responses and accurate records.
Other Responsibilities
- Order catering for meetings as needed.
- Attend the Accreditation Committee meeting and assist with recording the minutes as needed
- Assist with administrative tasks related to facilities accreditation and provide administrative support to the Facilities Accreditation team as required.
Essential Skills and Qualifications
- Post-secondary education combined with a minimum of two years of work experience in an administrative or related role, or an equivalent combination of education and experience.
- Solid understanding of the fundamentals of regulation and the role of a regulator is an asset.
- Exceptional communication skills, both written and interpersonal, with a demonstrated ability to draft clear, professional correspondence and effectively engage with internal/external individuals.
- Proficiency with Microsoft Office, databases, web-based tools, electronic filing, content/document management, cloud-based applications and intranets along with advanced computer skills, including internet, phone, and video conferencing tools.
- Exceptional organizational skills with the ability to multi-task, prioritize, and meet tight deadlines in a fast-paced environment.
- Strong clerical and administrative skills including the ability to manage a shared inbox and phone line and respond to routine inquiries.
- Attention to detail and dependability are second nature.
- Ability to handle sensitive and confidential information with discretion.
- Resilient and calm under pressure, with the ability to adapt to changing priorities and handle multiple tasks and projects simultaneously
- Anti-racism and/or diversity, equity and inclusion training or equivalent self-directed training is an asset.
- Indigenous Cultural Safety training or equivalent self-directed training is an asset.
- Remote work experience and experience in a regulatory, not-for-profit environment or post-secondary environment is an asset.
Work Hours BCCOHP's regular hours of business are 8:30 am to 4:30 pm, Monday through Friday. This is a full-time permanent position, requiring 35 hours per week (7 hours per day).
Flexibility
BCCOHP offers flexibility for a hybrid work arrangement depending on the role and operational needs. The number of days required to be in office for this position is dependent on operational needs and workload.
We also offer core work hours between 9:30 am - 2:30 pm. The successful candidate may adjust their work day as long as they are working within the set core work hours, and depending on operational needs.
Total Compensation & Perks The successful candidate will be offered a competitive compensation and benefits package and can typically expect a starting annual salary between $52,135.74 to $56,735.96 depending on factors such as skills, experience, and education relative to the requirements of the role. Salaries are reviewed annually based on performance and market trends, allowing employees to potentially earn up to the maximum of the current pay band, $61,336.17.
