Village Green Co-operative Homes Inc. is seeking a Temporary Full-Time Administrative Coordinator.
Founded in 1979, Village Green Co-operative Homes Inc. is a housing co-operative with 116 stacked townhouses across three streets in Brampton, ON.
The Administrative
Coordinator will provide general office and administrative support to the co-op and will work closely with the Office Manager, Board of Directors, maintenance team, and members. This position will help support the day-to-day operation of the office and ensure that administrative tasks, records, and member requests are handled in an organized and timely manner.
Duties and responsibilities include:
- Answer phones, emails, and general inquiries and direct matters to the appropriate staff member.
- Provide professional and courteous assistance to co-op members, visitors, contractors, and other stakeholders.
- Provide general administrative support to the Office Manager and Board of Directors.
- Assist with maintaining accurate member records, files, and documentation.
- Organize and maintain paper and electronic filing systems.
- Assist with data entry and updating information in office systems.
- Prepare letters, notices, forms, and other correspondence as required.
- Assist with member administration, including forms, documentation, and follow-up.
- Assist with housing charge, arrears, subsidy, and other administrative documentation as directed.
- Assist with accounts payable, invoices, cheques, and other financial administration.
- Assist with maintenance administration, including work orders, contractor communication, and follow-up.
- Assist with unit turnovers, move-ins, and move-outs.
- Schedule appointments, inspections, meetings, and contractor visits.
- Assist with preparing documents and information for Board meetings.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Assist with keeping the office organized and ensuring records are maintained and up to date.
- Perform other administrative duties as required.
The ideal applicant will have:
- Previous administrative or office experience.
- Robust organizational and time-management skills.
- Strong attention to detail and accuracy.
- Good written and verbal communication skills.
- The ability to work independently and take initiative.
- Strong interpersonal skills and a professional, respectful approach when working with members and the public.
- The ability to manage multiple tasks and changing priorities in a busy office environment.
- Ability to handle confidential information with discretion.
- Comfortable using Microsoft Office, Google Drive, Excel, and other computer programs.
- Ability and willingness to learn new systems and technology.
- Experience with NewViews, housing co-operatives, or non-profit organizations is not required but would be considered an asset
Working Hours:
- Monday, Tuesday, Thursday and Friday from 8:30 am – 4:30 pm and Wednesday 11:00am – 7:00pm.
- Some flexibility in scheduling will be required for occasional evening board and members meetings (once a month for evening board meetings and twice a year for evening members meetings).

Pay: $20.00-$25.00 per hour
